Job Overview:
The Team Assistant position is located in the Office of the Director of the African Centre for Statistics at the United Nations Economic Commission for Africa (ECA). The incumbent will work under the guidance of the Director and report to the Senior Administrative Assistant. The role encompasses a wide range of office support and administrative functions, including responding to correspondence, monitoring processes, organizing information for reports, and providing logistical support for meetings and events. The Team Assistant will be responsible for maintaining schedules, managing communications, and ensuring the smooth operation of administrative tasks within the unit. This position requires effective interaction with various stakeholders, including staff from related organizational units, visitors, and representatives from international organizations. The successful candidate will be expected to deliver high-quality administrative support while adhering to relevant policies and procedures.

Duties and Responsibilities:
The Team Assistant will perform a variety of duties, including:
  • Providing comprehensive office support and administrative functions.
  • Drafting responses to routine correspondence and communications.
  • Monitoring schedules and processes related to the unit's outputs and tasks.
  • Researching and organizing information for reports.
  • Screening phone calls and visitors, responding to inquiries, and referring complex requests to appropriate personnel.
  • Offering secretarial and logistical support for meetings, boards, and conferences.
  • Maintaining calendars and schedules, communicating changes to relevant staff.
  • Reviewing and processing mail and documents, following up on actions.
  • Updating distribution lists and preparing various materials and reports. 1
  • Performing general administrative tasks, including making arrangements for meetings and processing administrative requests. 1
  • Maintaining both paper and electronic files and databases. 1
  • Assisting with data collection and analysis, as well as report preparation. 1
  • Performing other duties as assigned, which may involve frequent interaction with staff and external stakeholders.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of three years of experience in general office support or a related area is required. Experience in data analytics or a related field is desirable. The role demands a strong understanding of administrative policies and procedures, as well as the ability to work efficiently under moderate supervision. Candidates should demonstrate professionalism, effective communication skills, and the ability to work collaboratively in a team environment.

Educational Background:
