Job Overview: The Finance and Administrative Assistant will play a crucial role in supporting the ILO-Korea Partnership Programme, which aims to enhance technical cooperation between the ILO and the Government of the Republic of Korea. This position involves maintaining financial records, processing contracts, and ensuring compliance with ILO regulations. The assistant will be responsible for preparing financial reports, managing budgets, and providing administrative support to project staff and consultants. The role requires a proactive approach to problem-solving and effective communication skills to liaise with various stakeholders, including project staff, consultants, and financial units. The assistant will report directly to the Chief Technical Advisor and will be expected to contribute to the overall success of the project by ensuring that financial and administrative processes are executed efficiently and accurately.
Duties and Responsibilities: The Finance and Administrative Assistant will be responsible for a wide range of duties, including but not limited to: maintaining project financial records and monitoring systems to accurately record and reconcile expenditures, balances, payments, and other financial data; processing contracts for financial clearance and payment while ensuring the correctness of contract types and supporting documents; preparing correspondence to verify data and address queries; reviewing financial reports from project implementing partners for compliance with ILO rules; classifying budget codes and processing claims for payment; providing administrative and financial guidance to project staff; consulting with the Finance Unit on regulations and procedures; preparing recurring and special reports for donor reporting and audits; calculating cost estimates and participating in budget analysis; supporting project workshops and meetings; and performing any other duties as assigned by the supervisor.
Required Qualifications: Candidates must possess a completion of secondary school education. Additionally, at least five years of experience in general office management and clerical support work is required. Experience within the United Nations Common System or an international organization is desirable. Proficiency in standard office software packages, including WORD, EXCEL, and PowerPoint, is essential for this role. Candidates should demonstrate strong organizational skills, the ability to prioritize tasks, and the capability to work independently while meeting deadlines. Excellent oral and written communication skills are also necessary, along with customer service skills to respond efficiently to clients.
Educational Background: The minimum educational requirement for this position is the completion of secondary school education. Candidates with further education or specialized training in finance, administration, or related fields may be preferred, although not explicitly required.
