Job Overview:
The Grants Specialist position at DRC is a critical role within the organization, focusing on the management of grants for the Venezuela country office. The primary responsibility of the Grants Specialist is to ensure compliance with donor regulations and DRC's internal policies while managing the grants portfolio effectively. This role involves supporting proposal development, ensuring timely reporting, and maintaining accountability to donors. The Grants Specialist will work closely with various teams, including program, monitoring and evaluation (M&E), and operations, to ensure that all contractual obligations are met. The position requires a proactive approach to identifying potential risks and issues related to grant management and collaborating with internal stakeholders to address these challenges. The Grants Specialist will also play a key role in enhancing the capacity of the grants and program teams through training and support, ultimately contributing to the overall success of DRC's mission in Venezuela.

Duties and Responsibilities:
The Grants Specialist will be responsible for a comprehensive set of duties, including but not limited to:
  • Ensuring high-quality contract management in collaboration with the Grants Management Manager, identifying and flagging any issues or potential risks.
  • Supporting contract amendments, including cost/no-cost extensions and project revisions, in coordination with relevant stakeholders.
  • Coordinating and facilitating meetings for grant kickoff, review, and closing, actively participating in discussions and monitoring progress against timelines.
  • Maintaining and updating DRC's Grants Management Cards on Dynamics and internal documentation systems, ensuring accurate records are kept.
  • Reviewing and updating the grants tracker, ensuring regular communication with regional offices and field teams.
  • Monitoring the grants portfolio in collaboration with implementation teams, ensuring understanding of contractual obligations.
  • Ensuring that reporting deadlines are met and troubleshooting any gaps in deliverables.
  • Coordinating the preparation of project reports in accordance with donor requirements and supporting training for grants and program teams.
  • Maintaining active communication with donors and participating in external coordination and fundraising meetings. 1
  • Supporting proposal development by gathering input from various stakeholders and ensuring high-quality submissions. 1
  • Assisting with ad hoc tasks such as preparing factsheets and reports, promoting diversity and inclusion within the workplace.

Required Qualifications:
Candidates for the Grants Specialist position must possess a range of qualifications, including:
  • Excellent communication and interpersonal skills, with the ability to build relationships with both internal and external stakeholders.
  • A minimum of 3 years of experience in grants management, preferably within an international NGO or donor-funded organization.

  • Proficiency in Microsoft Office and relevant software, including Word, Excel, and PowerPoint.

  • Demonstrated ability to prioritize workloads, meet deadlines, and adapt to complex work environments.
  • Strong coordination, influencing, and interpersonal skills, with a creative approach to improving project quality.
  • A commitment to humanitarian principles and DRC values, with the ability to work effectively in a diverse team.

Educational Background:
The educational background required for the Grants Specialist position includes a university degree in Social Sciences, International Development, or a relevant field. This educational foundation is essential for understanding the complexities of humanitarian work and the specific challenges faced by vulnerable populations.

Experience:
The position requires at least 3 years of relevant experience in grants management, ideally within an international NGO or a donor-funded organization. This experience should encompass a solid understanding of the grants lifecycle, including proposal development, reporting, and compliance with donor regulations.

Languages:
Fluency in English (speaking, writing, reading) is essential for this role, as it involves communication with international stakeholders and donors. Additionally, communication skills in Spanish are mandatory, given the local context of the position in Venezuela.
