Job Overview:
The Administration Senior Assistant plays a crucial role in supporting office operations by managing a variety of standard administrative processes. This position is essential for ensuring accuracy, efficiency, and high-quality outcomes in administrative tasks. The role involves providing administrative support for conferences, workshops, and retreats, managing petty cash transactions, and processing travel transactions in compliance with UN rules. The Assistant will also be responsible for maintaining strong working relationships with government ministries and ensuring the smooth operation of logistics and client-focused services. This position is designed for individuals who are detail-oriented and capable of managing multiple tasks efficiently, contributing to the overall effectiveness of the office.

Duties and Responsibilities:
The Administration Senior Assistant will be responsible for a wide range of duties including:
  • Administrative Support: Researching and retrieving statistical data, preparing reports, and managing deadlines and commitments.
  • Travel and Logistics: Processing travel transactions, providing information on air services, organizing shipments, and ensuring compliance with UN regulations.
  • Inventory and Facilities Management: Conducting physical inventory checks, maintaining stock lists, and assessing office maintenance needs.
  • Knowledge Building and Sharing: Supporting logistics and travel training sessions and participating in knowledge-sharing activities.
  • Supervising transportation services and ensuring quality client service.
  • Compiling and organizing information for audits and managing petty cash transactions.
  • Maintaining accurate records and providing timely updates on administrative processes.

Required Qualifications:
Candidates must possess either a secondary school diploma with 5 years of relevant experience or a Bachelor’s degree with 1 year of relevant experience. A globally or nationally recognized professional certificate in Administration is desired but not mandatory. Proficiency in administrative, logistics, and operations management is essential, along with experience in using collaboration and productivity tools such as MS Office and G-Suite.

Educational Background:
The educational requirements for this position include a secondary school diploma or equivalent, with a preference for candidates holding a Bachelor’s degree in any discipline. Additional qualifications such as a professional certificate in Administration are considered advantageous.

Experience:
Relevant experience in administration, logistics, or operations is required. Candidates should have experience working with collaboration tools and web-based management systems. Experience in multicultural environments or within UN system organizations, particularly in developing countries, is highly desirable. Familiarity with development or humanitarian contexts will be beneficial.

Languages:
Fluency in English and Arabic is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
