Job Overview: The Logistics Associate is responsible for coordinating and monitoring logistics activities, which include consolidating mission plans, tracking travel requests, supervising deliveries, and ensuring the availability of equipment and tools for partners. This role encompasses a variety of responsibilities, such as overseeing service contracts (maintenance, security" style="border-bottom: 1px dotted #007bff !important;">security, and upkeep of premises), managing the reception of goods and services, and regularly updating inventory. Additionally, the Logistics Associate contributes to the preparation of payment documents for invoices and ensures effective management of the vehicle fleet, including monitoring fuel consumption. The position requires a proactive approach to logistics management and a commitment to maintaining high standards of service delivery.
Duties and Responsibilities:
Ensure the consolidation of mission and travel plans, as well as the planning and allocation of vehicles;
Implement and monitor a control system for the vehicle fleet, ensuring preventive and corrective maintenance of vehicles;
Organize the logistical aspects of travel for visitors and expatriates, including accommodation bookings, airport transfers, and administrative procedures (visas, residence permits);
Ensure compliance with local administrative documents related to expatriates;
Manage and monitor contracts for office security and maintenance, including renewals, validations, and payment tracking;
Ensure continuous electricity supply and proper functioning of the generator;
Coordinate maintenance work and operational needs of offices, including the acquisition of equipment and materials;
Manage and monitor office supply inventories;
Prepare kits and organize logistics for workshops and events; 1
Act as the focal point for updating and monitoring project inventories; 1
Track fuel consumption and ensure necessary replenishments; 1
Receive and process mail and invoices; 1
Manage phone calls and provide guidance to callers; 1
Draft and format administrative correspondence; 1
Ensure electronic filing and archiving of documents; 1
Execute any other related tasks assigned as part of the role.
Required Qualifications:
Proven customer orientation and ability to apply customer service fundamentals;
Strong organizational skills and respect for deadlines, with a proactive approach;
Ability to exercise judgment within defined policies and procedures to find solutions and execute tasks;
Proficiency in Microsoft Office applications (Excel, Outlook, PowerPoint, Word); experience in database management is an asset;
Ability to manage multiple tasks and requests, prioritize effectively, and work efficiently in a deadline-driven environment;
Attention to detail and accuracy in task execution;
Strong verbal and written communication skills focused on customer service, with the ability to interact professionally with staff and external stakeholders from diverse cultures and languages.
Educational Background: A high school diploma or equivalent is required. A bachelor's degree in transportation, logistics, administration, or a related field is preferred.
Experience: 0 to 3 years of relevant professional experience in a similar position, with at least one year of experience in administrative management and vehicle oversight. Experience within a program funded by international donors, specifically the U.S. government and PEPFAR, is an advantage. Experience in an NGO setting is also a plus.
Languages: Fluency in French is mandatory, and knowledge of English is an asset.
Additional Notes: The expected hiring salary range for this role is XOF 6,000,000 - 8,000,000 for annual basic salary. When determining an offer amount, FHI 360 considers multiple factors, including relevant years of experience and education, internal equity, market pay, and budget. For internal candidates, salary placement will follow FHI 360’s current promotional increase guidelines.
