Job Overview: The Office Assistant (Satellite Imagery Procurement) plays a vital role in supporting the procurement process for geospatial datasets, particularly commercial satellite imagery. This position is integral to the Department of Safeguards, which is responsible for ensuring that nuclear materials are not diverted from peaceful uses. The Office Assistant will work closely with the Safeguards Information Assistant and will be tasked with administrative duties related to the procurement of satellite imagery. This includes initiating and tracking procurement processes, maintaining records for budgetary purposes, and ensuring compliance with established administrative procedures. The role requires a proactive approach to collating requests for imagery, conducting supplier inquiries, and performing quality checks on data received. The Office Assistant will also contribute to maintaining geospatial databases and ensure confidentiality in handling sensitive information.
Duties and Responsibilities: The Office Assistant will be responsible for a variety of administrative tasks including: collating requests for imagery in consultation with technical experts; conducting supplier inquiries to identify suitable data; preparing and transmitting orders to suppliers; liaising with vendors to ensure correct procurement; performing basic visual data quality checks; tracking and logging geospatial products in the enterprise central repository; conducting administrative tasks related to geospatial data supply such as ordering and invoicing; ensuring compliance with operational requirements during procurement processes; maintaining up-to-date geospatial and imagery databases; acting as the alternate focal point for the acquisition of commercial remote sensing imagery; supporting the digitization of site/facility perimeters; and ensuring discretion and confidentiality of information in compliance with IAEA regulations.
Required Qualifications: Candidates must have completed secondary education and possess a minimum of four years of relevant administrative or general office support experience, preferably in an international environment. Experience in purchasing goods or services, accounting, finance, or a related field is considered an asset. Familiarity with databases for operating in a Local Area Network is also required. Candidates should demonstrate proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, as these are the standard tools used by the IAEA.
Educational Background: The position requires candidates to have completed secondary education. Additional qualifications in fields related to accounting, finance, procurement, or administration are advantageous and may enhance a candidate's application.
Experience: The ideal candidate should have at least four years of relevant experience in administrative support or general office functions. Experience in an international setting is preferred, as it provides valuable context for the role. Familiarity with procurement processes and database management is also beneficial.

Additional Notes: The IAEA offers a competitive remuneration package, including a tax-free annual net base salary starting at EUR 51,384, subject to mandatory deductions for pension contributions and health insurance. Employees are entitled to six weeks of annual vacation, a pension plan, and health insurance.
