Job Overview: The Senior Program Coordinator (SPC) will play a crucial role within the Strategy Planning and Management (SPM) team, specifically supporting the Communications Division. This position involves the development and management of a range of communications-related investments, acting as the primary contact for various portfolios including Strategic Communications & Insights, Internal Communications, and the Office of the Chief Communications Officer. The SPC will be responsible for translating team priorities into actionable investments, budgets, timelines, and plans. The role requires managing a diverse portfolio of investments, focusing primarily on contracts, and ensuring effective coordination, development, and management of these portfolios. The SPC will also oversee budget planning, analysis" style="border-bottom: 1px dotted #007bff !important;">financial analysis, and reporting, while supporting strategic communication projects and initiatives. This position is integral to maintaining strong relationships with investment owners and agency partners, ensuring that the Foundation's communication strategies are effectively implemented and aligned with its mission.
Duties and Responsibilities: The SPC will be responsible for several key duties, including:
Investment Management: Collaborating with investment makers to develop and maintain a portfolio of investments, focusing on contracts and ensuring compliance with foundation processes. This includes advising on investment structures, conducting initial investment due diligence, and managing timelines.
Financial and Portfolio Management: Collecting and analyzing portfolio data, partnering with finance and operations teams for accurate budget tracking and forecasting, and producing leadership-ready reports to support financial decision-making.
Relationship Management: Building and nurturing relationships with internal and external partners throughout the investment lifecycle, serving as a trusted advisor and proactively identifying issues.
Cross-Functional Coordination: Coordinating with various departments such as Legal, FP&A, and IT to facilitate the movement of investments from planning to execution.
Training and Onboarding: Acting as a subject matter expert on investment-related processes and providing training and support to ensure successful adoption of tools and systems.
Operational Support: Supporting the Communications Leadership Team in decision-making regarding investments and pipeline planning.
Project Management: Working on critical projects that span across the team or foundation, identifying areas for process improvement, and implementing solutions.
Diversity, Equity, and Inclusion (DEI): Advising on DEI opportunities within investments and participating in shaping divisional practices.
Required Qualifications: Candidates must possess a Bachelor’s degree and a minimum of five years of relevant work experience, or equivalent experience. At least two years of experience in a Program Coordinator role within a foundation is required. The ideal candidate should demonstrate the ability to manage complex portfolios and handle a high volume of work efficiently. Strong organizational skills, attention to detail, and the ability to communicate effectively with stakeholders at all levels are essential. Candidates should also have a solid understanding of investment rules and regulations, and experience in contract management is highly desirable. The ability to work flexibly and adapt to rapid changes in a fast-paced environment is crucial.
Educational Background: A Bachelor’s degree is required for this position. The degree should ideally be in a relevant field that supports the functions of the role, such as communications, business administration, or a related discipline. Additional certifications or training in project management or financial analysis may be beneficial.
Experience: Candidates should have a minimum of five years of work experience, with at least two years in a Program Coordinator role within a foundation or similar organization. Experience managing complex portfolios and investments is essential, along with a proven track record of facilitating decision-making processes at both the investment and portfolio levels. Familiarity with financial analysis and budget management is also important.
