Job Overview:
The Operations Assistant (Data Processing) plays a crucial role in the Movement Operations team, working under the supervision of the Movement Operations Officer. This position is responsible for recording demographic and biographic information in the MiMOSA system upon receipt of travel requests and confirming receipt to relevant third parties, such as embassies or Resettlement Support Centers. The Operations Assistant ensures the secure storage of travel documents and data, processes exit permits, and prepares travel-ready documentation for transfer to Field Support colleagues. The role requires maintaining the integrity of Movement Operations projects through regular data mining reports and providing feedback on work progress to supervisors. The Operations Assistant must demonstrate professionalism and impartiality in all interactions with migrants and colleagues, adhering to IOM's Code of Conduct and standards of confidentiality.

Duties and Responsibilities:
The duties and responsibilities of the Operations Assistant (Data Processing) include:
  • Recording demographic and biographic information in the MiMOSA system and confirming receipt to third parties.
  • Securing and accounting for travel documents in accordance with local Standard Operating Procedures (SOPs).
  • Ensuring the secure storage of documentation and data while guaranteeing limited access to physical files.
  • Processing exit permits in coordination with supervisors and relevant authorities.
  • Issuing and dispatching travel documents in collaboration with Operations colleagues.
  • Preparing all necessary travel documentation for transfer to Field Support colleagues.
  • Preparing reports on documentation receipt and service delivery timelines.
  • Reporting any issues encountered, such as denials of exit permits, and suggesting corrective actions.
  • Assisting in preparing regular data mining reports to ensure the accuracy and integrity of Movement Operations projects. 1
  • Providing regular feedback on work progress to the Movement Operations Officer and keeping supervisors informed of any arising issues. 1
  • Maintaining confidentiality and integrity of all relevant paperwork in line with standards of conduct and data protection rules. 1
  • Alerting management of any non-compliance with SOPs or codes of conduct. 1
  • Performing other duties as assigned.

Required Qualifications:
The required qualifications for the Operations Assistant (Data Processing) position include:
  • Completed secondary high school education is required.
  • Five years of relevant working experience is required, or three years of working experience with a bachelor’s degree.
  • Prior experience in Movement Operations or transportation is a strong advantage.
  • Strong computer skills, particularly in Word, Excel, and Internet usage.
  • Experience with Movement Operations-related databases and systems, such as iGATOR, MiMOSA, SAR, and Amadeus, is a strong advantage.

Educational Background:
The educational background required for this position includes a completed secondary high school education. Candidates with a bachelor’s degree are preferred, especially if they have three years of relevant working experience. Accredited universities are those listed in the UNESCO World Higher Education Database.

Experience:
Candidates must have a minimum of five years of relevant working experience. If the candidate holds a bachelor’s degree, three years of relevant working experience is acceptable. Experience in Movement Operations or transportation is considered a strong advantage, as it provides valuable context for the responsibilities of the role.

Languages:
Fluency in English and French is required for all IOM staff members. Additionally, a working knowledge of Arabic is considered an advantage. The proficiency of required languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Additional Notes:
The position is subject to funding confirmation, and any offer made to the candidate is contingent upon this. The selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
