Job Overview:
As a Logistics Assistant at UNFPA, you will play a crucial role in supporting the effective management of the organization's program activities in Senegal, particularly in procurement and administration. Your responsibilities will include ensuring compliance with UNFPA's logistics policies and procedures, providing logistical support for conferences and workshops, and assisting in the procurement process. You will work closely with the Procurement Associate and other program/project staff to maximize the impact of travel and logistical services, ensuring that all operations align with UNFPA's mission and strategic goals. Your client-oriented and results-focused approach will be essential in interpreting and applying administrative rules and guidelines effectively, thereby enhancing the overall efficiency of the Country Office's operations.

Duties and Responsibilities:
The Logistics Assistant will be responsible for a variety of tasks, including but not limited to: supporting compliance of logistics activities with UNFPA’s rules and regulations; providing logistical support for travel, conferences, and workshops; assisting in the preparation and implementation of procurement plans; managing vendor performance appraisals; supporting procurement processes including drafting RFQs, conducting local shopping, and managing the receipt of quotations; creating requisitions and purchase orders; maintaining the CO Shipment Tracker; acting as a backup for the Procurement Associate; managing CO assets; and performing any other tasks assigned by the Procurement Associate or Operations Manager. This role is vital for strengthening UNFPA Senegal's capacity in managing procurement processes and ensuring efficient logistics support for program implementation.

Required Qualifications:
Candidates must possess completed Secondary Level Education as a minimum requirement. A first-level university degree in Business Administration, Logistics, Public Administration, or a related field is considered an asset. Additionally, candidates should demonstrate proficiency in current office software applications and web-based management systems, as well as ERP financial systems. The ability to multitask and effectively resolve operational problems is essential. Prior experience working with the United Nations or similar organizations is highly desirable, as it indicates familiarity with the unique operational and administrative challenges faced in such environments.

Educational Background:
The educational background required for this position includes a completed Secondary Level Education. While this is the minimum requirement, candidates with a first-level university degree in relevant fields such as Business Administration, Logistics, or Public Administration will be viewed favorably. This educational foundation is critical for understanding the complexities of logistics and procurement processes within the context of UNFPA's operations.

Experience:
The position requires a minimum of five (5) years of relevant experience in administrative, logistics, or office management roles. This experience should demonstrate a solid understanding of logistics operations, procurement processes, and administrative support functions. Candidates should have a proven track record of effectively managing logistics and procurement activities, ideally within an international organization or a similar context. Experience in a UN environment is particularly advantageous, as it equips candidates with the necessary skills to navigate the specific challenges and requirements of UNFPA's operations.

Languages:
Fluency in French is mandatory for this position, as it is the primary language of communication within the organization and the country of operation. Additionally, a working knowledge of English is desirable, as it may facilitate communication with international stakeholders and enhance collaboration within the UN system. Proficiency in other languages may also be considered an asset, depending on the specific needs of the role and the organization.
