Job Overview: The Programme Management Assistant position is integral to the GEF Biodiversity and Land Degradation Unit within UNEP's Ecosystems Division. The incumbent will support the planning and implementation of various environmental programs and projects, ensuring that they align with UNEP's mission and objectives. This role involves a combination of administrative, analytical, and coordination tasks that are essential for the effective management of environmental initiatives. The assistant will work closely with the Task Manager for the West Africa region and will be responsible for gathering and analyzing data, preparing budget proposals, and monitoring project progress. The position requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to achieve programmatic goals. The successful candidate will also contribute to the preparation of reports and presentations that communicate the outcomes and impacts of UNEP's work in biodiversity and land degradation.
Duties and Responsibilities: The duties and responsibilities of the Programme Management Assistant include providing assistance in the planning and implementation of programmatic activities, conducting research and analysis on specific projects, coordinating project planning and preparation, and assisting in budget proposal preparation and analysis. The incumbent will monitor and evaluate programs/projects, track and analyze data related to project performance, and prepare revised budget estimates. They will collaborate with project managers on performance reporting, draft program/project summaries, and serve as a focal point for coordination and monitoring of project implementation activities. The assistant will maintain and update electronic and paper files, generate reports and statistical tables, draft correspondence related to program administration, and provide general administrative support to the team. Additionally, the role involves assisting with data collection and analysis, preparing presentations, and updating information materials such as web pages or brochures. The assistant may also be assigned other related duties as necessary.
Required Qualifications: Candidates must possess a high school diploma or equivalent, along with additional technical training in administration, accounting, finance, or a relevant field. A minimum of seven years of progressively responsible experience in programmatic, administrative, or technical support is required, although this may be reduced to five years for candidates with a first-level university degree. Experience in monitoring and evaluating programs/projects is essential, and familiarity with enterprise resource planning (ERP) systems is desirable. Experience working with international organizations is also beneficial, as is experience in data analytics or related areas.
Educational Background: The educational background required for this position includes a high school diploma or equivalent. Additional technical training in relevant fields such as administration, accounting, or finance is mandatory. Candidates with a first-level university degree may have a reduced experience requirement, highlighting the importance of formal education in relation to the role.
Experience: The position requires a minimum of seven years of progressively responsible experience in programmatic, administrative, or technical support roles. Candidates with a first-level university degree may qualify with five years of relevant experience. Experience in monitoring and evaluating programs/projects is a must, while familiarity with ERP systems and international organizations is advantageous. Candidates should also have at least one year of experience in data analytics or related fields to enhance their suitability for the role.
Languages: The working languages of the United Nations Secretariat are English and French. For this position, proficiency in both languages is required. Candidates must demonstrate a minimum level of proficiency in reading, writing, listening, and speaking in both English and French, as per the UN Language Framework. Additional Notes: This position is offered for an initial period of one year, with the possibility of extension based on the continued existence of the mandate and availability of funding. The appointment will be a fixed-term appointment limited (FTAlimited) in accordance with UN administrative instructions.
