Job Overview: The Program Assistant plays a crucial role in supporting the implementation and monitoring of Relief International's projects in North Syria. This position is supervised by the Senior Program Officer and managed by the Project Manager. The Program Assistant is responsible for managing daily activities as delegated, assisting in the recruitment process for incentive staff at health facilities and protection sites, and performing various administrative duties such as filing, scanning, and archiving. The role requires a proactive approach to ensure the efficient execution of project activities, contributing to the start-up of new health or protection facilities, and collaborating with various teams to ensure adherence to operational procedures and policies.
Duties and Responsibilities: The Program Assistant's duties include supporting the program team in executing day-to-day activities for each project, assisting in the start-up of new health or protection facilities, coordinating with logistics and finance teams regarding program-related procurements, and providing administrative support for HR processes related to incentive staff. The assistant will also review monthly running costs for facilities, contribute to monitoring the consumption rates of procured items, assist in drafting Memoranda of Understanding (MOUs) or Sub-Grant Agreements (SGAs), and participate in monitoring and evaluation plans. Regular visits to health and protection facilities are required to follow up on activity progress and provide immediate reporting. Additionally, the Program Assistant will support the planning and implementation of events such as trainings and workshops.
Required Qualifications: Candidates must possess a relevant university degree or equivalent professional experience. A minimum of 1 year of experience in a relevant position, preferably within the humanitarian or development sectors, is required. Strong organizational and administrative skills, attention to detail, and the ability to prioritize tasks are essential. Proficiency in computer applications such as Word and Excel is necessary, along with excellent Arabic language skills; English proficiency is considered an asset. Strong interpersonal and communication skills, a team-oriented mindset, and a problem-solving attitude are also required.
Educational Background: The position requires a relevant university degree or equivalent professional experience. This educational background should ideally be in fields related to humanitarian work, development studies, social sciences, or a related discipline that equips the candidate with the necessary skills and knowledge for the role.
