Job Overview:
The Senior Procurement Assistant position is designed to support requisitioning units throughout the entire procurement cycle. This role requires a proactive approach to identifying cost-saving opportunities and recommending suitable suppliers. The Senior Procurement Assistant will also be responsible for maintaining accurate records of procurement activities and ensuring that all contractual obligations are met. Duties and Responsibilities:
The duties and responsibilities of the Senior Procurement Assistant include reviewing and prioritizing complex purchasing requests, assisting requisitioners in preparing scopes of work, and proposing product substitutions to achieve cost savings. The incumbent will identify potential suppliers, produce tender documents, and prepare abstracts of offers to determine the best supplier based on quality, cost, and delivery time. The role also involves negotiating terms and conditions of orders, analyzing supplier capabilities, and preparing draft contracts in consultation with relevant stakeholders. Additionally, the Senior Procurement Assistant will maintain internal databases, track contractual agreements, resolve issues related to delivered goods, and perform other duties as assigned by the Chief Procurement Officer and Chief of the Section.

Required Qualifications:
The position requires a High School Diploma as a minimum educational qualification, with a degree in Procurement, Business Administration, or Accounting considered an asset. Additional training in IPSAS and Umoja related to procurement and logistics is advantageous. The candidate must possess ten years of progressively responsible experience in procurement administration or related fields, with at least three years of experience in the UN common system or an international public organization. A minimum of two years of procurement experience is required, and experience in contract management or administration is desirable. Familiarity with ERP systems in purchasing or supply chain management is also beneficial.

Educational Background:
Candidates must have at least a High School Diploma, with a preference for those holding a degree in Procurement, Business Administration, or Accounting. Additional training in relevant procurement systems and practices is highly regarded, as it demonstrates a commitment to professional development and an understanding of the complexities involved in procurement processes.

Experience:
The ideal candidate should have a minimum of ten years of progressively responsible experience in procurement administration or related areas. This experience should include at least three years within the UN common system or an international public organization, highlighting the importance of familiarity with international procurement standards and practices. Additionally, candidates should have at least two years of direct procurement experience, with a strong emphasis on contract management and administration, showcasing their ability to navigate complex procurement scenarios effectively.

Languages:
Fluency in oral and written English is mandatory for this position, as it is one of the working languages of the United Nations Secretariat. Excellent writing skills in English are essential for drafting correspondence and procurement documents. Knowledge of French or another official United Nations language is considered an advantage, as it enhances communication capabilities within the diverse linguistic environment of the UN.
