Job Overview:
The Supply Chain Assistant plays a crucial role in the day-to-day management of stocks and warehouse facilities assigned to their area of responsibility. This position involves overseeing the flow of goods and items through the warehouse located in Kosti. The assistant is expected to ensure that all operations related to receiving, storing, and issuing goods are conducted efficiently and in compliance with DRC procedures. The role requires a proactive approach to managing inventory, maintaining accurate records, and ensuring the safety and security of the stored goods. The Supply Chain Assistant will also be responsible for supporting the logistics team and contributing to the overall effectiveness of the supply chain operations within the organization.

Duties and Responsibilities:
The duties and responsibilities of the Supply Chain Assistant include, but are not limited to:
  • Receiving and Recording: Assist in receiving goods, verifying quantities, quality, and specifications against purchase orders and delivery notes. Maintain up-to-date stock cards and ensure proper documentation upon arrival. Oversee loading and offloading operations when trucks or vehicles arrive at the warehouse. Report any discrepancies or damaged items immediately to the Supply Chain.
  • Storage and Organization: Ensure logical stacking of items within the warehouse to optimize space and preserve accessibility. Label and tag items with bin cards, storing them according to category, expiry date, or other specifications. Maintain hygiene, cleanliness, and safety standards in the storage area.
  • Issuing of Goods: Pack, prepare, and issue requested items against approved release orders. Record all items in stock cards or stock management systems, ensuring adherence to FIFO (First-In, First-Out) or FEFO (First-Expired, First-Out) methods.
  • Stock Control and Documentation: Conduct regular stock counts and physical inventory checks. Maintain accurate records of receipts, issues, and balances. Assist in preparing stock reports for management submission. Review and update stock cards and reports, entering data into stock registers.
  • Safety and Security: Ensure all goods are stored and packed safely and securely in accordance with DRC procedures. Monitor the security of the store to prevent loss, theft, or damage, reporting any irregularities to the Supervisor. Ensure compliance with safety standards, including fire extinguishers and proper stacking.
  • Other Duties: Assist with loading and unloading items during deliveries or dispatches. Support the logistics team with filing and documentation. Perform any other tasks assigned by the Supervisor.

Required Qualifications:
The ideal candidate for the Supply Chain Assistant position should possess a Bachelor's degree (or equivalent) in Business Administration, Supply Chain, or related fields. A minimum of 1-2 years of relevant work experience in storekeeping, warehousing, or inventory management is required. Experience in administrative tasks, including filing systems, is also essential. The candidate should demonstrate fluency in Arabic, with English proficiency preferred. Strong communication and teamwork skills, attention to detail, and a high level of accuracy are critical for success in this role. The ability to manage emergency situations calmly and accurately is also necessary.

Educational Background:
Candidates must have a university degree in relevant fields such as Business Administration, Supply Chain Management, or related disciplines. This educational background is essential to ensure that the candidate has the foundational knowledge required for effective supply chain operations.

Experience:
The position requires a minimum of 1-2 years of relevant work experience in areas such as storekeeping, warehousing, or inventory management. This experience is crucial for understanding the complexities of supply chain operations and effectively managing the responsibilities associated with the role.

Languages:
Fluency in Arabic is mandatory for this position, as it is essential for communication within the local context. Proficiency in English is preferred, as it may be necessary for documentation and communication with international stakeholders.

The Supply Chain Assistant position is a national contract with a duration of 3 months. The position is classified as Band I, which is a non-management role.
