Job Overview:
The position of Asistente de Programas at WFP involves supporting operational activities within a specific professional area to facilitate the effective delivery of services. The role requires the individual to work under minimal supervision, ensuring that tasks are organized and precise. The Asistente de Programas will be responsible for gathering information that serves as a basis for drafting documents and preparing reports, responding to inquiries, and providing administrative and financial support. This position is crucial for maintaining the integrity of data and ensuring that information is accurate and readily available for operational functions. The Asistente de Programas will also provide guidance to less experienced colleagues, ensuring that services are delivered consistently and in accordance with established requirements.

Duties and Responsibilities:
  • Gather information to support the drafting of documents and preparation of reports by other staff members.
  • Respond to inquiries and refer them to higher levels when necessary to provide timely and accurate service to clients.
  • Assist in processing and managing routine administrative and financial tasks across various functional areas to contribute to effective resource management.
  • Provide review and correction services for standard documents to ensure accurate documentation.
  • Maintain established systems and files to ensure information is accurate and easily accessible for the relevant function.
  • Identify simple discrepancies in statistics and data, such as missing information, and communicate these to higher-level officials to assist clients in their work.
  • Ensure data integrity to facilitate the availability of accurate information in institutional systems.
  • Provide guidance on standard operational support methods and practices to less experienced colleagues to ensure consistent service delivery.
  • Collaborate with a diverse range of individuals, gathering feedback as necessary to assist in providing operational support to staff. 1
  • Perform other activities as requested by the supervisor that align with the purpose of the position.

Required Qualifications:
Education: Completion of secondary education is required. A post-secondary diploma in social sciences, administrative, accounting, or related fields is desirable. Specific Experience: A minimum of four (4) years of experience in the relevant operational area related to programmatic functions, with experience in general administrative tasks. Experience working in similar roles within humanitarian assistance and/or development programs will be positively valued. Experience in field operations, preferably in complex contexts, humanitarian assistance, or emergency situations with a focus on migrant populations, ethnic groups, and work in contexts of Gender-Based Violence is preferred. Knowledge of the coverage area of the Field Office is essential. Proficiency in computer use and office applications (Word, Excel, PowerPoint, etc.) is required. Experience using web-based systems and corporate platforms is also necessary.

Educational Background:
The educational background required for this position includes the completion of secondary education, with a preference for candidates who have obtained a post-secondary diploma in relevant fields such as social sciences, administration, or accounting. This educational foundation is essential for understanding the operational and administrative tasks associated with the role.

Experience:
Candidates should possess a minimum of four years of relevant experience in operational roles related to programmatic functions. This experience should include general administrative tasks and may involve working in humanitarian assistance or development programs. Experience in field operations, particularly in complex environments or emergency situations, is highly valued, especially if it includes work with vulnerable populations such as migrants or ethnic groups.

Languages:
Fluency in spoken and written Spanish is mandatory for this position. An intermediate level of English is also required, which will enable effective communication in a multicultural environment and facilitate collaboration with international colleagues.
