Job Overview:
The Grants Specialist position at DRC is a critical role that involves managing the grants portfolio for the Venezuela Country Office (CO). The primary responsibility of the Grants Management Specialist is to ensure compliance with donor regulations and DRC's internal policies while supporting effective proposal development and timely reporting. This role requires close collaboration with various stakeholders, including the Grants Management Manager, Support Service Managers, Technical Coordinators, and the Senior Management Team. The Grants Specialist will play a vital role in maintaining accountability to donors and ensuring that all contractual obligations are met. The position is based in Caracas, Venezuela, and is integral to the success of DRC's operations in the region, which encompass multiple sectors such as Protection, security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">Food Security & Livelihood, WASH, and Disaster Preparedness. The Grants Specialist will also be involved in new business development and will support the organization in diversifying its funding portfolio.

Duties and Responsibilities:
The Grants Specialist will be responsible for a comprehensive set of duties, including but not limited to:
  • Ensuring high-quality contract management in collaboration with the Grants Management Manager, identifying and flagging any issues or potential risks.
  • Supporting contract amendments, including cost/no-cost extensions and project revisions, in coordination with relevant stakeholders.
  • Coordinating and facilitating meetings for grant kickoff, review, and closing, while monitoring progress against timelines and action points.
  • Maintaining and updating the DRC's Grants Management Cards on Dynamics and internal documentation systems, ensuring accurate records are kept.
  • Reviewing and updating the grants tracker and ensuring regular communication with DRC regional offices, headquarters, and field teams.
  • Monitoring the grants portfolio and working directly with implementation teams to ensure understanding of contractual obligations.
  • Ensuring that reporting deadlines are met and troubleshooting any gaps in deliverables.
  • Coordinating the preparation of project reports in accordance with donor requirements and supporting training in proposal development for grants and program teams.
  • Maintaining active communication with donors and participating in external coordination and fundraising meetings. 1
  • Supporting the Grants Management Manager in proposal planning and editing final drafts of proposals to meet quality standards. 1
  • Assisting with communication and coordination with donors and external stakeholders, as well as preparing various reports and factsheets as needed. 1
  • Promoting Diversity, Equity & Inclusion within the organization and performing any ad-hoc tasks assigned by the Grants Management Manager.

Required Qualifications:
The ideal candidate for the Grants Specialist position should possess the following qualifications:
  • Excellent communication and interpersonal skills, with the ability to build relationships with both internal and external stakeholders.
  • A minimum of 3 years of experience in grants management, preferably within an international NGO or donor-funded organization.
  • Knowledge and experience in multiple sectors, including protection, food security, and livelihood.
  • Proficiency in Microsoft Office and relevant software, including Word, Excel, and PowerPoint.
  • Solid experience in compiling donor proposals, modification requests, and reports, particularly with UN donors such as UNHCR, WFP, OCHA, as well as ECHO, GFFO, SDC, and private foundations.
  • A strong understanding of donor rules and regulations.
  • Demonstrated ability to prioritize workloads, meet deadlines, and adapt to complex work environments.
  • Strong coordination, influencing, and interpersonal skills, with a creative and practical approach to improving project quality.
  • A commitment to humanitarian principles and DRC values, with the ability to work effectively within a diverse team.

Educational Background:
Candidates must hold a University Degree in Social Sciences, International Development, or a relevant field. This educational background is essential for understanding the complexities of humanitarian work and the various sectors in which DRC operates.

Experience:
The position requires at least 3 years of relevant experience in grants management, ideally within an international NGO or a donor-funded organization. This experience should encompass a solid understanding of the grants lifecycle, from proposal development to reporting and compliance, as well as familiarity with donor regulations and requirements.

Languages:
Fluency in English (speaking, writing, reading) is essential for this role, as it involves communication with international stakeholders and donors. Additionally, communication skills in Spanish are mandatory, as the position is based in Venezuela and requires interaction with local teams and partners.

Additional Notes:
The Grants Specialist position is a national contract role, with a salary band of G2 and classified as non-management. The contract duration is subject to budget availability, and the organization provides HCM insurance fully covered.
