Job Overview:
The Administrative Assistant will play a crucial role in supporting the administrative functions of the UNFICYP. This position requires a proactive individual who can manage various human resource activities, including recruitment, performance appraisal, and staff training. The incumbent will also be responsible for budget management, ensuring compliance with UN regulations, and providing administrative support to senior officials. The role demands a high level of professionalism, confidentiality, and the ability to handle multiple tasks efficiently. The Administrative Assistant will coordinate the work schedules of senior officials, manage communications, and assist in drafting official correspondence. This position is vital for maintaining the operational efficiency of the UNFICYP and ensuring that all administrative processes are executed smoothly and effectively.

Duties and Responsibilities:
The Administrative Assistant will be responsible for a wide range of duties, including but not limited to: coordinating human resource activities such as recruitment and training; maintaining performance evaluation records; advising staff on visa matters; monitoring staffing tables; assisting in budget preparation and monitoring; reviewing requisitions for fund availability; coordinating the Head of Mission's schedule; drafting official correspondence; providing guidance and training to other staff; and resolving diverse administrative issues as they arise. The role also involves liaising with various service units and internal team members, supporting the mission's focal point on Conduct and Discipline matters, and performing other related administrative duties as required.

Required Qualifications:
Candidates must possess at least eight years of progressively responsible experience in administration, finance, accounting, or human resources within the United Nations system or the private sector. Proven experience in supporting senior officials at the ASG level is essential, along with prior experience in mission evaluation work. Familiarity with Enterprise Resource Planning (ERP) systems, such as Umoja, is desirable. Candidates should demonstrate a strong understanding of UN administrative rules and regulations and possess the ability to maintain confidentiality and professionalism in all interactions.

Educational Background:
A high school diploma or equivalent is required for this position. While no specific job-related qualifications are mentioned, candidates with additional certifications or training in administration, finance, or human resources may be preferred.

Experience:
The position requires a minimum of eight years of relevant experience, with a focus on administrative functions within the UN or similar organizations. Experience in international operations, particularly in post-conflict environments, is highly desirable. Candidates should have a proven track record of supporting senior officials and managing complex administrative tasks effectively.

Languages:
English is the mandatory working language for this position, with a required proficiency level of UN Level II in reading, writing, listening, and speaking. French is considered a desirable language, with a minimum proficiency level of UN Level I. Candidates should be able to communicate clearly and effectively in both languages, tailoring their communication style to suit different audiences.

Additional Notes:
This position is temporarily available from 1 July 2026 for an initial period of 3 months. If the selected candidate is a current staff member of the United Nations Secretariat, the selection will be treated as a temporary assignment. The position is subject to funding availability and eligibility is limited to candidates based at the duty station.
