Job Overview:
The position of Auxiliar Administrativo at WFP involves providing essential administrative support to ensure the smooth operation of the office in Riohacha. The role is crucial for maintaining effective communication and operational efficiency within the team. The Auxiliar Administrativo will be responsible for a variety of tasks that include managing correspondence, responding to inquiries, and assisting with travel arrangements and event organization. This position requires a proactive approach to problem-solving and the ability to work independently while adhering to established guidelines. The Auxiliar Administrativo will report directly to the Administrative Assistant and coordinate with the Head of Office to ensure that all administrative functions are executed efficiently and effectively. The role is designed for individuals who are detail-oriented and possess strong organizational skills, as they will be handling sensitive information and supporting the overall mission of WFP in addressing food insecurity in vulnerable populations.

Duties and Responsibilities:
  • Collect, organize, and distribute correspondence, reports, and other materials to meet the needs of staff within established deadlines.
  • Respond to routine inquiries or refer them to higher authorities as appropriate to provide timely and quality service to clients.
  • Edit written documents, such as reports and standard correspondence, to contribute to the accuracy of information produced by staff.
  • Carry out a range of routine operational support activities to contribute to the effective functioning of institutional operations.
  • Make travel arrangements and assist in organizing events to help staff work effectively.
  • Assist in maintaining files, documents, and office records in accordance with established systems and procedures to ensure information is current and accessible.
  • Perform standard data entry tasks in accordance with defined systems to ensure information is organized and accessible to operational teams.
  • Knowledge of inventory management, administrative processes, competitive procurement for services, billing management, and supplier negotiation.

Required Qualifications:
Minimum qualifications include the completion of secondary education. A technical or technological degree in administrative, accounting, or related fields is preferred. Candidates should have at least three years of general administrative experience, with a strong understanding of administrative tasks and processes. Proficiency in SAP software and the Microsoft Office suite is essential, and prior experience in NGOs or UN agencies is highly valued. Candidates should demonstrate analytical skills, solid knowledge of administrative processes, and the ability to use standard office equipment effectively. Strong attention to detail and the ability to work under pressure while following clear instructions are also required.

Educational Background:
Candidates must have completed secondary education, with a preference for those who have pursued further education in administrative sciences, accounting, or related fields. A technical or technological degree is advantageous and may enhance the candidate's profile.

Experience:
Candidates should possess a minimum of three years of relevant experience in general administrative tasks. Experience in administrative support, contract management, coordination of shipping operations, and the production and analysis of management reports is essential. Familiarity with intermediate spreadsheet applications and database management is also required, along with a proven ability to handle multiple tasks efficiently.

Languages:
Fluency in Spanish is mandatory for this position. Proficiency in English or other languages may be considered an asset but is not required.

This position is offered under a Service Contract (SC) for a duration of six months, with the possibility of renewal based on performance and available funding. The remuneration level for this position is SC
