Job Overview:
The Fleet and Asset Management Officer plays a crucial role in ensuring the efficient management of transportation and equipment within the organization. This position involves developing weekly movement plans in coordination with user departments, identifying transport needs, and addressing any gaps in service. The officer will be responsible for monitoring vehicle control sheets, organizing fuel distribution, and maintaining updated tracking tools for fuel usage. Additionally, the officer will oversee vehicle maintenance schedules, prepare purchase requests related to fuel and maintenance, and contribute to the monthly fleet reports. This role requires a proactive approach to logistics and asset management, ensuring that all operations are conducted in a timely and organized manner.

Duties and Responsibilities:
  • Fleet Management: Develop weekly movement schedules in coordination with user departments, identify transport needs, and report any gaps. Monitor vehicle control sheets, organize fuel distribution, and update fuel tracking tools. Ensure proper archiving of fuel documents and follow maintenance schedules for vehicles. Prepare purchase requests related to fuel and maintenance and contribute to monthly fleet reports.
  • Asset Management: Track equipment movements, maintain an updated asset register, participate in physical inventories, and update equipment handover sheets. Serve as the focal point for asset management within the base, ensuring that all equipment is accounted for and properly managed.
  • Communication and Coordination: Collaborate with various departments to ensure that logistics and asset management needs are met, providing timely updates and reports as necessary. Maintain clear communication with team members and stakeholders to facilitate smooth operations.

Required Qualifications:
The ideal candidate should possess strong organizational skills and attention to detail, with a basic understanding of logistics principles. Proficiency in computer tools, particularly Excel and data tracking software, is essential. The candidate should demonstrate excellent communication skills, a sense of responsibility, and integrity in all dealings. A proactive approach to problem-solving and the ability to work under pressure in a humanitarian context are also important.

Educational Background:
Candidates should have a minimum educational qualification of Bac +2 or Bac +3 in logistics, supply chain management, or a related field. This educational background provides the necessary foundation for understanding the complexities of fleet and asset management in a humanitarian setting.

Experience:
A minimum of two years of experience in a similar role is required.
