Job Overview:
The Assistant(e) de gestion du carburant is a critical role within the WFP, primarily responsible for managing fuel data and ensuring accurate reporting and reconciliation of fuel consumption. This position requires a detail-oriented individual who can effectively collect, validate, and input fuel-related documents into the FleetWave system and Excel tools. The role is essential for maintaining the integrity of fuel management processes, which are vital for the operational efficiency of WFP's logistics and supply chain. The incumbent will work closely with the administration and the sub-office chief, ensuring that all fuel data is accurately captured and reported in a timely manner. This position is particularly focused on supporting the logistics operations in Jeremie, Haiti, and is expected to contribute to the overall mission of WFP by ensuring that fuel resources are managed effectively and efficiently.

Duties and Responsibilities:
  • Collect and input fuel documents daily, including delivery notes and transfer slips, ensuring timely updates in the management system.
  • Collaborate with mechanics to prepare spare parts needs and create job cards.
  • Conduct stock inspections and prepare reports on the quantity and quality of received parts.
  • Validate distribution data submitted by vehicle drivers and fuel attendants through mobile applications.
  • Review documents for errors or inconsistencies, correcting any anomalies before final validation.
  • Perform monthly reconciliations between Excel tools and FleetWave data, ensuring accuracy with physical fuel levels.
  • Produce monthly consumption analysis reports by the 5th of each month, consolidating data for the country office if based in Port-au-Prince.
  • Work with fuel attendants to resolve data discrepancies and participate in audits by providing necessary digital data.
  • Maintain accurate daily entries in Excel tools and FleetWave, ensuring all fuel documents are archived digitally. 1
  • Undertake additional tasks as assigned by the supervisor, particularly during emergencies.

Required Qualifications:
Candidates must possess a secondary school diploma, with a post-secondary certificate in administration, finance, management, or a related field being advantageous. A minimum of four years of experience in fuel management or a related field is required, along with experience in data reconciliation and analytical reporting. Proficiency in Microsoft Office applications, particularly Excel, is essential, as is familiarity with FleetWave or similar systems. Strong organizational skills, attention to detail, and the ability to identify and correct errors are critical for success in this role. Effective communication and teamwork skills are also necessary to collaborate with various stakeholders within the organization.

Educational Background:
The educational requirement for this position includes the completion of secondary education. A post-secondary certificate in fields such as administration, finance, or management is preferred, as it provides a foundational understanding of the administrative processes relevant to the role.

Experience:
The position requires at least four years of relevant experience in fuel management or a closely related field. Candidates should have a proven track record of handling data reconciliation and producing analytical reports, demonstrating their ability to manage and interpret data effectively. Experience in logistics or fleet management is also beneficial, as it aligns with the responsibilities of the role.

Languages:
Fluency in both English and French, both written and spoken, is mandatory for this position.
