Job Overview: The Team Assistant position at the World Bank Madagascar country office is designed to provide comprehensive administrative, logistical, and operational support to the team. The role is crucial for ensuring the smooth functioning of the office and the effective implementation of World Bank projects and activities. The Team Assistant will be responsible for managing calendars, coordinating meetings, and arranging travel for team members. Additionally, the assistant will draft routine correspondence in both French and English, ensuring adherence to the organization's standards. This position requires a proactive approach to mission planning and logistics, as well as the ability to serve as a primary point of contact for stakeholders. The role also involves maintaining filing systems and databases, supporting procurement and invoicing processes, and ensuring compliance with World Bank policies. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently within a fast-paced environment.
Duties and Responsibilities: The Team Assistant will undertake a variety of duties, including but not limited to: providing full administrative support to the team, managing calendars, coordinating meetings, and making travel arrangements; assisting in the preparation and implementation of World Bank projects and activities in accordance with established procedures; drafting routine correspondence such as letters, memos, presentations, and meeting materials in both French and English; supporting mission planning and logistics, including follow-up actions for meetings; acting as the first point of contact for internal and external stakeholders and responding to inquiries; collecting and inputting data into World Bank systems; maintaining organized filing systems and document management in line with WBG standards; supporting procurement, invoicing, and administrative processes to ensure compliance with policies; and serving as a backup for colleagues on administrative tasks as needed.
Required Qualifications: Candidates must possess a Bachelor’s degree along with 5 years of relevant experience, or an equivalent combination of education and experience. Advanced knowledge and experience with Microsoft Office applications (Excel, PowerPoint, Word, etc.) are essential. The candidate should demonstrate strong organizational and problem-solving skills, with the ability to work independently and manage multiple tasks effectively. Flexibility and adaptability to new solutions are important, as is the motivation to embrace change. Excellent written and verbal communication skills in both French and English are required, including the ability to draft formal and informal correspondence and proofread materials. The candidate should also be resourceful, able to retrieve reference materials from various sources, and have experience working in multicultural environments, which will be considered an asset.
Educational Background: A Bachelor’s degree is required for this position, which serves as the foundational educational qualification. The degree should ideally be in a field relevant to administration or office support, although other fields may also be considered depending on the candidate's experience and skills.
Experience: The position requires a minimum of 5 years of relevant experience in administrative support or a related field. Candidates should have a proven track record of working in environments that demand strong organizational and multitasking abilities. Experience in international organizations or multicultural settings is highly desirable, as it demonstrates the candidate's ability to navigate diverse work environments and collaborate effectively with a wide range of stakeholders.
