Job Overview:
The Office Associate position is situated within the Markets and Trade Division (EST) at FAO headquarters in Rome, Italy. This role is pivotal in leading and coordinating office and management support functions, ensuring the smooth flow of office work and information. The incumbent is expected to demonstrate a high degree of initiative and independent judgment, managing day-to-day operations effectively. The Office Associate will provide procedural guidance to managers and staff, ensuring that office policies and procedures are adhered to. This position requires strong organizational skills, as the incumbent will be responsible for prioritizing tasks, managing correspondence, and facilitating communication within the office and with external stakeholders. The role also involves organizing high-level meetings, maintaining calendars, and ensuring that all office support services are delivered efficiently to support the Division's mandate.

Duties and Responsibilities:
The Office Associate will be responsible for a comprehensive set of duties, including but not limited to: analyzing, managing, and monitoring a large volume of complex correspondence and documentation, ensuring appropriate routing and prioritization; providing information and guidance to staff at all levels; arranging appointments and travel for supervisors; organizing high-level meetings and ensuring the production and distribution of necessary documentation; coordinating the work of other office support staff; establishing internal procedures for correspondence and document tracking; responding to written inquiries and drafting responses; following up on the preparation of reports and other documents; evaluating ongoing support requirements and adapting service provision as needed; and performing other duties as required to ensure the efficient operation of the office.

Required Qualifications:
Candidates must possess a secondary school education and a minimum of five years of relevant experience in management and office support work. Proficiency in MS Office applications and familiarity with office technology are essential. Additionally, candidates should have a working knowledge of English and another official FAO language (Arabic, Chinese, French, Russian, or Spanish).

Educational Background:
The minimum educational requirement for this position is a secondary school education. This foundational education is crucial for understanding the office's operational needs and effectively managing the diverse tasks associated with the role.

Experience:
Candidates are required to have at least five years of relevant experience in management and office support work. This experience should include handling complex correspondence and documentation, as well as providing guidance and support to staff within an organizational setting. Experience in a front office or large technical teams is desirable, particularly in managing official correspondence and protocol matters.

Languages:
A working knowledge (proficiency - level C) of English is mandatory, along with proficiency in another official FAO language such as Arabic, Chinese, French, Russian, or Spanish. This linguistic capability is essential for effective communication within the organization and with external stakeholders.

The position is classified under the General Service Staff category, which means that candidates must be nationals of Italy or possess an existing visa/work permit and reside within commuting distance of the duty station at the time of application.
