Job Overview:
The Administrative Clerk position at UN Women involves supporting the office operations through a variety of administrative processes. The role requires a client-oriented approach, ensuring high-quality service delivery in collaboration with program personnel and the operations team. The Administrative Clerk will be responsible for general administrative and logistical support, including managing office records, assisting in meetings and events, and maintaining inventory and asset management. This position is crucial for ensuring the smooth functioning of the office and supporting the implementation of UN Women’s programs in Brazil, which focus on governance, economic autonomy, and the elimination of violence against women and girls.

Duties and Responsibilities:
The Administrative Clerk will perform a range of duties, including:
  • Providing general administrative and logistical support, such as preparing documents for shipments, organizing meetings and workshops, maintaining office records, and ensuring the safekeeping of confidential materials.
  • Supporting office management by monitoring stationery supplies, maintaining files related to office premises, assisting in procurement actions, and managing travel arrangements.
  • Assisting in Human Resources services by supporting recruitment processes, maintaining staffing lists, and organizing personnel files.
  • Contributing to knowledge building by maintaining templates and providing logistical support for training sessions.
  • Performing other duties as necessary for the efficient functioning of the office.

Required Qualifications:
Candidates must possess a completion of secondary education as a minimum requirement. A Bachelor’s degree in business administration or public administration is considered an asset. The role requires a strong understanding of administrative processes and the ability to handle confidential information. Proficiency in IT and web-based management skills is essential, along with the ability to manage a high volume of work effectively.

Educational Background:
The minimum educational requirement for this position is the completion of secondary education. A Bachelor’s degree in business administration or public administration is preferred and would enhance a candidate's qualifications for the role.

Experience:
Candidates should have at least 4 years of progressively responsible experience in administration, procurement, human resources, or logistics support services. Experience with computer applications, particularly Microsoft Office, and familiarity with web-based management systems are required. Experience with modern web-based ERP systems, such as Oracle Cloud, is desirable but not mandatory.

Languages:
Fluency in both English and Portuguese is required for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is considered an asset and may enhance a candidate's profile.
