Job Overview:
The Business Support Assistant (SC-4) plays a crucial role in the Logistics Unit by providing essential administrative and operational support to ensure the efficient, compliant, and safe movement of humanitarian cargo across Sudan. This position is responsible for the timely preparation, submission, tracking, and documentation of all movement clearance requests required for trucks transporting humanitarian supplies. The role involves maintaining communication with relevant authorities and internal staff to ensure that all necessary clearances are obtained and properly recorded. The Business Support Assistant will work under the direct supervision of the Logistics Assistant or Logistics Officer, contributing to the overall goal of facilitating uninterrupted humanitarian access and ensuring that the logistics operations run smoothly. This position is vital for maintaining the flow of humanitarian assistance, which is critical for the communities affected by crises in Sudan.

Duties and Responsibilities:
The Business Support Assistant will be responsible for a variety of tasks, including but not limited to:
  • Movement Clearance Support: Preparing and submitting movement clearance requests for trucks transporting humanitarian cargo within Sudan, ensuring that all required documents are complete and correctly formatted. Following up daily with relevant authorities to obtain timely clearance approvals and updating drivers and internal teams on the status of clearances.
  • Documentation, Filing & Data Management: Maintaining an organized filing system for all movement approvals and official correspondence, updating the movement clearance tracker daily, and ensuring that all documentation is audit-ready and compliant with organizational procedures.
  • Coordination & Communication: Liaising with various teams to align dispatch timing with clearance availability, communicating any delays or issues to the Logistics Assistant/Officer, and providing translation of documents as needed.
  • General Business Support: Providing administrative support to the Logistics Unit, including photocopying, scanning, archiving, and drafting letters, as well as assisting with data entry and reconciliation of movement approvals with dispatch records. The expected deliverables include timely submission of clearance requests, accurate documentation, organized recordkeeping, and effective communication with internal teams and authorities.

Required Qualifications:
Candidates must possess strong administrative and organizational skills, with the ability to manage multiple files and deadlines simultaneously. Proficiency in MS Office, particularly Excel, is essential. Good communication and follow-up skills are necessary, along with the ability to work under pressure and adapt to changing priorities. Experience dealing with state authorities or approval processes is highly desirable, particularly within humanitarian operations in Sudan.

Educational Background:
Completion of secondary school education is required for this position. Additional training in administration, logistics, or supply chain management is considered an asset and may enhance a candidate's application.

Experience:
A minimum of 4 years of experience in administrative, logistics, transport, insurance, or government liaison roles is required, preferably within humanitarian operations in Sudan. Candidates should have experience dealing with state authorities or navigating approval processes, which is highly desirable for this role.

Languages:
Fluency in Arabic is required for this position, as it is essential for communication with local authorities and stakeholders. A basic working knowledge of English is considered an advantage, as it may facilitate communication with international teams and documentation.
