Job Overview:
The Project Support Assistant will play a crucial role in the implementation of the ILO FAIRWAY Programme, Phase II (2024-27), which focuses on enhancing labor migration governance in the Africa-Arab States corridor. This position will also support the Joint Programme aimed at strengthening the inclusion of persons with disabilities in the workforce in Kuwait. The assistant will be responsible for providing administrative, logistical, and financial support to ensure the smooth execution of both projects. This includes drafting correspondence, managing office tasks, and coordinating with various stakeholders to facilitate project activities. The role requires a proactive approach to problem-solving and the ability to work collaboratively with diverse teams across different countries. The assistant will report to the FAIRWAY Project Manager and work closely with the National Project Coordinator for the Disability Inclusion project, ensuring that all project activities are well-organized and effectively communicated.

Duties and Responsibilities:
The Project Support Assistant will have a wide range of responsibilities, including but not limited to: drafting standard correspondence and formatting various documents related to project activities; providing general office management and administrative support for meetings, seminars, and workshops; updating project websites and databases; maintaining files and official records; processing administrative arrangements for official travel; preparing cost estimates and logistical arrangements for project-related activities; compiling routine financial data and entering transactions into the ILO's financial systems; assisting in the preparation of financial plans and reports; monitoring and reconciling expenditures; and providing necessary administrative support to the ILO Kuwait Office. The assistant will also be expected to draft correspondence in both Arabic and English and perform other relevant duties as assigned.

Required Qualifications:
Candidates must have completed secondary school education, with formal training in accounting and/or finance being an asset. The position requires at least three years of experience in general office management and clerical support work. Candidates should possess excellent organizational skills, the ability to prioritize tasks, and proficiency in basic computer software such as Microsoft Word, PowerPoint, Excel, and Adobe Reader. Strong communication skills in both English and Arabic are essential, along with the ability to work effectively in a team and manage a heavy workload under time pressure. Knowledge of administrative document preparation and filing systems is also required, as well as a commitment to non-discrimination and gender equality principles.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. Candidates with formal training in accounting, finance, or administrative fields will be considered more favorably. This educational background is essential to ensure that the candidate has the foundational knowledge necessary to perform the duties associated with financial and administrative support effectively.

Experience:
The ideal candidate should have a minimum of three years of relevant experience in general office management and clerical support. This experience should include tasks related to administrative support, document preparation, and financial data management. Candidates with experience in international organizations or similar environments will have an advantage, as they will be familiar with the operational standards and practices of such organizations.

Languages:
Fluency in both English and Arabic is mandatory for this position. Candidates must demonstrate excellent oral and written communication skills in both languages, as the role involves drafting correspondence and interacting with diverse stakeholders. Knowledge of additional languages may be considered an asset but is not required.
