Job Overview: The HR Intern position at UNHCR Warsaw offers a unique opportunity for individuals to gain practical experience in human resources within a dynamic international organization. This role is particularly focused on supporting the Multi-Country Office (MCO) that covers Poland, Czechia, and Slovakia. Interns will work closely with experienced HR professionals, gaining insights into core HR processes such as recruitment, absence management, and personnel administration. Duties and Responsibilities: The HR Intern will be responsible for a variety of tasks, including:
Filing and archiving personnel records, ensuring compliance with confidentiality standards and maintaining organized electronic and physical files.
Assisting in absence management by tracking and recording leave for non-staff personnel, ensuring accurate documentation and timely reporting.
Providing clerical support during the recruitment process, including coordinating applications and assisting with shortlisting candidates.
Supporting the onboarding process for new staff members, ensuring a smooth transition into the organization.
Assisting in updating and delivering training materials on HR topics such as the Code of Conduct, Newcomers’ Induction, and Employability Training.
Providing general support to the HR team, including HR reporting, data entry, and other ad-hoc administrative tasks as required.
Required Qualifications: To be eligible for the internship, candidates must meet the following criteria:
Be a recent graduate (having completed their studies within the last two years) or a current student in a graduate or undergraduate program from a university or higher education institution accredited by IAU/UNESCO.
Have completed at least two years of undergraduate studies in a field relevant to the work of UNHCR.
Not have exhausted the maximum cumulative internship period with UNHCR, which is 8 months for full-time internships and 12 months for part-time internships. Additionally, candidates who have a familial relationship with a current UNHCR staff member or affiliate are not eligible for this internship.
Educational Background: Candidates should have a background in Human Resources, Business Administration, or a related field. The internship is open to individuals who are currently pursuing their studies or have recently graduated, ensuring that they have the necessary theoretical knowledge to complement their practical experience at UNHCR.
Experience: While prior experience is not mandatory, candidates should demonstrate a strong interest in human resources and a willingness to learn. The internship is designed for individuals who are at the beginning of their careers and are looking to gain valuable experience in a professional setting.
Languages: The primary language required for this position is English, with a proficiency level of B2 or higher. Strong communication skills, both written and verbal, are essential for effective collaboration within the HR team and with other stakeholders. Additional language skills may be considered an asset but are not mandatory.
Additional Notes: This is a full-time internship position with working hours from 8:30 AM to 4:30 PM, Monday to Friday, totaling 40 hours per week. Interns who do not receive financial support from an external party will receive an allowance to help cover food, local transportation, and living expenses. Travel costs for interns coming from outside the country will be reimbursed for their outward and return travel to the duty station, subject to prior authorization. Internships typically last between two to six months, with the possibility of extension up to eight months for full-time internships and twelve months for part-time internships. Interns are responsible for acquiring and renewing visas, residence permits, and health insurance coverage, as well as complying with any taxation requirements.
