Job Overview:
The Finance and Administration Assistant position is situated within the South Asia Department at the India Resident Mission (INRM) of ADB. The role is crucial for supporting the finance and administration team in various accounting, administrative, and logistical functions. The assistant will be responsible for ensuring the accuracy and propriety of documentation for payments, processing accounting transactions, and coordinating daily banking functions. The position requires a proactive approach to maintaining accurate records, preparing budgets, and providing administrative support to supervisors. The assistant will also handle routine correspondence, manage schedules, and assist in travel-related tasks, ensuring efficient operations within the department. This role is essential for the smooth functioning of the INRM and contributes significantly to ADB's mission of fostering prosperity in Asia.

Duties and Responsibilities:
The Finance and Administration Assistant will undertake a variety of duties, including but not limited to: reviewing documentation for payments, processing invoices and purchase orders, preparing administrative and capital budgets, and maintaining accurate records of financial transactions. The assistant will coordinate supervisors' schedules, arrange appointments, meetings, travel, and accommodation, and provide routine administrative support. Responsibilities also include responding to queries from staff and external service providers, managing incoming mail, providing reception services, and assisting in travel-related tasks. The assistant will support senior management visits and workshops, verify assets, reconcile inventory records, and assist in the disposal of obsolete assets. The role requires flexibility to perform additional tasks as assigned by supervisors and to support team members during busy periods.

Required Qualifications:
Candidates must possess a Bachelor's degree in accounting, commerce, or a related field. A minimum of 5 years of relevant professional experience is required, along with a good understanding of accounting practices and procedures. Experience in preparing and monitoring administrative budgets is essential, and familiarity with international agencies is preferred. The ability to quickly learn ADB procedures and effective report-writing and communication skills in English and the national language are necessary. Proficiency in technology packages, including word processing, spreadsheets, and presentation software, is also required.

Educational Background:
The position requires a Bachelor's degree in accounting, commerce, or a related field. This educational background is essential for understanding the financial and administrative functions that the role entails, ensuring that the candidate has the foundational knowledge necessary to perform the duties effectively.

Experience:
The ideal candidate should have at least 5 years of relevant professional experience in finance and administration. After the initial term, ADB may choose to renew the appointment based on various factors, including the staff's performance and the organization's needs.
