Job Overview:
The Grants & Finance Officer will play a crucial role in supporting the Meeting Targets and Maintaining Epidemic Control (EpiC) Botswana Finance & Administration team. This position involves comprehensive financial management, grants management, and administrative functions related to the project. The officer will be responsible for ensuring compliance with donor regulations and FHI 360 policies, while also maintaining accurate accounting records. The role requires close collaboration with implementing partners to ensure efficient operations and adherence to financial guidelines. The officer will conduct site visits to subawardees, review documentation, assist in budget development, and maintain grant records. This position is essential for the successful execution of grants and financial operations within the project, ensuring that all activities align with established principles and regulations.

Duties and Responsibilities:
The Grants & Finance Officer will have a wide range of responsibilities including: conducting regular site visits to subawardees to ensure compliance and provide capacity building support; reviewing subawardee documentation such as invoices and program reports; assisting in the development of budgets; maintaining up-to-date grant records; supporting grant execution and financial monitoring; preparing grant modifications; processing invoices and tracking payments; completing financial data entry; preparing employee travel advances; reviewing accounting transactions; assisting with month-end closing procedures; preparing VAT returns; and ensuring timely availability of documents for audits. The officer will also be responsible for creating new vendors, uploading journals, and extracting reports for analysis. This role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently.

Required Qualifications:
Candidates must possess a strong understanding of donor rules and regulations, particularly those related to USG and non-USG funding. A solid grasp of accounting principles, budgeting, and fiscal control practices is essential. Proficiency in automated accounting software and database management systems is required. The ideal candidate should demonstrate effective communication skills, both oral and written, and possess strong organizational and project management abilities. Attention to detail and the capacity to work independently while prioritizing tasks are critical for success in this role.

Educational Background:
A Bachelor's degree in Accounting, Finance, Business Administration, or a related field is required. Alternatively, candidates with an AAT qualification or equivalent will also be considered. The educational background should provide a solid foundation in financial principles and practices relevant to the role.

Experience:
Typically, candidates should have at least 3 years of professional work experience in a relevant field. Experience in a contracting position within the Federal Government or a Non-Governmental Organization (NGO) is highly desirable. Advanced knowledge of donor regulations and contracting principles is preferred, along with a proven track record of managing financial operations and grants effectively.

Languages:
Fluency in English is mandatory, with the ability to read, write, and speak proficiently. Knowledge of a foreign language is considered an asset and may enhance the candidate's profile.

This position is based in Gaborone, Botswana, and may require travel within the country (approximately 10%-15%).
