Job Overview:
The Programme Management Assistant plays a crucial role in supporting the DMFAS Programme by assisting in the coordination of program/project planning and preparation. This position involves monitoring the status of program/project proposals, compiling and summarizing data, and ensuring compliance with relevant rules and procedures. The assistant will also be responsible for reviewing project documents, budget revisions, and serving as a focal point for administrative coordination of program/project implementation activities. This includes liaising with various organizational units to initiate requests, process administrative actions, and compile data on project delivery. The role requires drafting correspondence, preparing reports, and assisting in the organization of workshops and meetings. The assistant will also provide guidance and training to new or junior staff, contributing to the overall effectiveness of the DMFAS Programme.

Duties and Responsibilities:
The incumbent will perform a variety of duties including: assisting in the coordination of program/project planning and preparation; monitoring the status of proposals and documentation; compiling and summarizing information on specific programs; reviewing project documents for completeness; verifying budget revisions and availability of funds; serving as a focal point for administrative coordination; compiling data on project delivery; drafting correspondence and reports; assisting in the preparation of presentation materials; providing general office assistance; responding to complex information requests; maintaining files and records; organizing meetings and workshops; and performing other duties as assigned. The role also involves providing guidance and training to new or junior staff and assisting with data collection and analysis for decision-making purposes.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A first-level university degree or higher is preferred and can reduce the required work experience. At least 5 years of experience in program or project administration, technical cooperation, or a related area is required. Experience working within the UN system is desirable, as is experience using ERP systems such as UMOJA and online recruitment systems like INSPIRA. Candidates should demonstrate proficiency in program/project administration and possess strong organizational and communication skills.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. However, candidates with a first-level university degree or higher will have a reduced experience requirement, making them more competitive for the role. The educational background should ideally include coursework or training related to program management, administration, or a relevant field that supports the functions of the DMFAS Programme.

Experience:
Candidates are required to have at least 5 years of relevant experience in program or project administration, technical cooperation, or a related area. This requirement is reduced to 3 years for candidates who possess a first-level university degree or higher. Experience within the UN system is highly desirable, as is familiarity with ERP systems and online recruitment platforms. Candidates should have a proven track record of managing administrative tasks and supporting program/project implementation effectively.

Languages:
The working languages of the United Nations Secretariat are English and French. For this position, proficiency in English is required, while knowledge of French is considered desirable. Candidates should demonstrate a minimum level of proficiency in reading, writing, listening, and speaking in English, as per the UN Language Framework. French proficiency is advantageous but not mandatory for the role.
