Job Overview: The Logistics Assistant (Invoicing) position at WFP involves ensuring compliance with internal procedures and contractual terms related to vendor invoices. The role requires overseeing the timely registration, validation, and processing of invoices in WFP’s Invoice Tracking System (ITS), as well as monitoring transport losses and securing vendor agreements. The Logistics Assistant will be responsible for maintaining effective communication with vendors, tracking service deliveries, and collaborating with various WFP units to ensure smooth funds flow and timely vendor payments. This position plays a crucial role in promoting efficiency and accountability within the logistics and funds management chain, contributing to audits and compliance processes, and ensuring that all documentation aligns with WFP standards. The successful candidate will be expected to perform other duties as required, demonstrating flexibility and adaptability in a dynamic work environment.
Duties and Responsibilities:
Ensure compliance of all vendor invoices with WFP’s internal procedures and contractual terms, rejecting and correcting non-compliant submissions.
Oversee timely registration, validation, and processing of invoices in WFP’s Invoice Tracking System (ITS), escalating challenges promptly when required.
Monitor transport losses, calculate values in line with contract provisions, and secure vendor agreement before finalizing invoice processing.
Provide regular reporting on invoice processing and payment status, ensuring transparency and accountability across the vendor portfolio.
Maintain effective communication with vendors to facilitate timely submission, correction, and follow-up of invoices and supporting documentation.
Track service deliveries against purchase orders, support the Funds Management Unit in monitoring and closing open orders, and ensure alignment with operational needs.
Collaborate closely with WFP units and the Finance Unit to ensure smooth funds flow and timely vendor payments.
Contribute to audits and compliance processes by maintaining accurate records and documentation in line with WFP standards.
Promote efficiency, accountability, and professional collaboration within the logistics and funds management chain. 1

Required Qualifications: The position requires completion of secondary school education, with an advanced university degree in Supply Chain, Logistics, Funds Management, Economics, Business Management, or a first university degree accompanied by additional years of related work experience and/or training. Candidates should possess strong computer literacy, including proficiency in Excel, accounting database tools, and reporting software. Strong organizational and problem-solving skills, as well as clear communication, coordination, and interpersonal skills, are essential. The ability to compile relevant data to support decision-making is also required.
Educational Background: Candidates must have completed secondary school education. An advanced university degree in relevant fields such as Supply Chain, Logistics, Funds Management, Economics, or Business Management is preferred. Alternatively, a first university degree with additional years of related work experience and/or training may be considered sufficient.
Experience: The ideal candidate should have at least 5 years of experience in logistics and funds management, as well as supply chain operations. Experience working with humanitarian organizations, UN agencies, or international NGOs is highly desirable. Familiarity with port and corridor operations, commercial logistics sectors, and corporate systems (databases, software) is also beneficial. Experience in demanding operational environments will be an advantage.
Languages: Fluency in French (level C) is mandatory for this position, along with intermediate or advanced knowledge of English (level B or C) being desirable. Proficiency in both languages will enhance communication and collaboration within the diverse WFP team and with external partners.
