Job Overview: The Senior Executive Assistant will play a pivotal role in ensuring the seamless operation and strategic coordination of the Director's front office. This position is essential for maintaining efficiency, precision, and excellence in all administrative and operational functions. The Senior Executive Assistant will be responsible for managing the Director's calendar, scheduling meetings, and organizing travel arrangements, ensuring that the Director is thoroughly prepared for all engagements. Additionally, the role involves maintaining oversight of the department's work program, tracking action items, and ensuring timely delivery of tasks. The Senior Executive Assistant will also serve as a key liaison for the Director, engaging with various stakeholders and managing sensitive matters with professionalism and discretion. This position requires a proactive approach to problem-solving and the ability to navigate complex situations effectively.
Duties and Responsibilities: The duties and responsibilities of the Senior Executive Assistant include providing comprehensive administrative support to the Director, facilitating effective communication within the Front Office, managing the Director's calendar and travel arrangements, maintaining oversight of the department's work program, ensuring quality control of documents, managing incoming emails, monitoring management decisions, organizing information for the Director's office, overseeing special departmental projects, and serving as a liaison for the Director with external clients and internal stakeholders. The role requires a high level of organization, attention to detail, and the ability to handle multiple tasks simultaneously while maintaining professionalism and discretion.
Required Qualifications: Candidates must possess a Bachelor’s degree and a minimum of 5 years of relevant experience. Proficiency in office productivity tools, particularly advanced knowledge of MS Office, Excel, PowerPoint, and Outlook, is essential. Exceptional written and verbal communication skills in English are required, and proficiency in French is a plus. Candidates should demonstrate maturity, discretion, sound judgment, and integrity in managing confidential information. Strong interpersonal skills and the ability to build effective relationships with a diverse range of stakeholders are crucial. The ideal candidate will have a proven track record of navigating complexity, prioritizing tasks, multitasking, and managing diverse situations with tact and diplomacy.
Educational Background: A Bachelor’s degree is required for this position, providing a foundational understanding of administrative functions and office management. The educational background should ideally include coursework or training relevant to business administration, management, or a related field that supports the skills necessary for effective executive assistance.
Experience: The position requires a minimum of 5 years of relevant experience in administrative support or office management roles. Candidates should have a demonstrated ability to work effectively in team-oriented, multicultural environments and contribute as a collaborative team member across various groups. Experience in managing executive-level support and familiarity with the operations of international organizations or development institutions is highly desirable.
