Job Overview:
The HR Admin Technical Assistant plays a crucial role in the day-to-day implementation of HR and administrative functions at the Area level. This position is designed to support the operational needs of the organization by ensuring that HR and administrative tasks are executed efficiently and in accordance with established policies and guidelines. The assistant will be responsible for a variety of tasks that include managing administrative processes, supporting HR functions, and collaborating with various departments to enhance the overall effectiveness of the organization. The HR Admin Technical Assistant will also be expected to contribute ideas for improvements in administrative processes and support the overall mission of the organization.

Duties and Responsibilities:
The HR Admin Technical Assistant will have a comprehensive set of duties and responsibilities that include:
  • Admin Tasks: - Performing all administrative tasks necessary for the smooth operation of the Field Office, including ordering cleaning supplies, office supplies, and consumables. - Managing agreements in Chernihiv, which involves preparing contracts, submitting purchase requests, and being the main point of contact for landlords and contractors. - Drafting official correspondence and responding to general information requests accurately. - Organizing events and meetings in the Chernihiv oblast, including venue selection, catering arrangements, and payment processing. - Booking accommodation for NRC staff and visitors as needed. - Engaging with official institutions when required and providing research and administrative support. - Reconciling cash advances in a timely manner and performing other relevant tasks as assigned by the HR Coordinator or other management staff. - Procuring train and bus tickets for travel within and outside of Ukraine.
  • HR Tasks: - Processing staff timesheets for the Chernihiv Field Office, which includes collecting signatures and archiving documents. - Preparing orders for business trips in accordance with travel authorization requests and per diem guidelines. - Assisting with other HR-related tasks as requested by the HR Coordinator or management.

Required Qualifications:
The position requires a set of qualifications that include: - A Bachelor’s degree in a relevant field is essential, while a university degree may be considered an asset. - A minimum of 1 year of experience in a similar role is required, with preference given to candidates who have worked in humanitarian organizations. - Experience in complex and volatile contexts is highly valued, as it demonstrates the ability to navigate challenging environments effectively. - Proficiency in English at an intermediate level is mandatory, along with fluency in Ukrainian, both written and spoken, to facilitate communication within the organization and with local stakeholders.
