Job Overview: The position of Administrative Support within the Services to Science and Research (SSR) branch of IARC involves providing essential administrative services to support the agency's scientific objectives. The incumbent will work under the supervision of the Administrative Assistant and will be responsible for a variety of administrative tasks that contribute to the smooth functioning of the Administrative Services Office (ASO). This includes maintaining documentation, assisting with visa processing, and supporting conference services, among other duties. Duties and Responsibilities: The duties and responsibilities of the Administrative Support position include:
Providing general administrative support to the ASO team, including drafting and editing reports and documents in both English and French, maintaining an organized filing system, and ensuring timely communication regarding ASO services.
Assisting with visa processing, UNLP applications, and coordinating conference services.
Acting as the asset focal point, managing office assets, and updating the inventory database in accordance with the Asset Policy.
Participating in basic ASO services such as handling calls, mail, and shipments, and following up on service agreements.
Preparing in-house communications and assisting with training sessions.
Performing other related tasks as assigned by the supervisor, including covering for absent colleagues and ensuring the seamless operation of the office.
Required Qualifications: The required qualifications for the Administrative Support position include:
Essential: Completion of secondary school or equivalent in secretarial or administrative fields, recognized by a diploma (DUT, BTS, or equivalent).
Desirable: A university degree in a relevant field is preferred.
Essential: At least 3 years of relevant experience in an administrative support role is required.
Desirable: Experience working in intergovernmental organizations, the United Nations common system, or similar organizations, and/or experience in a research environment is advantageous.
