Job Overview:
The Programme Assistant will work under the close supervision of the Chief of Education, supporting the section by executing a variety of procedural, administrative, and operational tasks. This role is particularly focused on projects funded by FCDO and KOICA, aimed at developing, implementing, and monitoring the country programme. The assistant will ensure timely and effective delivery of services in accordance with UNICEF's rules and regulations, contributing to the overall mission of improving children's lives in Bangladesh. The position requires a proactive approach to managing administrative tasks, maintaining records, and facilitating communication within the team and with external partners.

Duties and Responsibilities:
  • Facilitate the processing of contracts for consultants, vendors, and external partners to support programme delivery, including preparing and filing documents, completing necessary forms, and making logistical arrangements.
  • Collect invoices and file documents for approval, processing them in VISION and Mycase.
  • Prepare and maintain records, documents, and control plans for monitoring project/programme implementation and financial expenditures.
  • Support the management of administrative supplies and office equipment.
  • Maintain the office calendar and arrange meetings, taking minutes and organizing correspondence.
  • Provide travel assistance to staff members, ensuring compliance with organizational rules and policies.
  • Maintain and update a system to monitor staff absences.
  • Prepare and maintain records related to programme planning and development.
  • Carry out transactions in VISION, ensuring alignment with annual work plans and making necessary amendments. 1
  • Support capacity development activities by arranging logistics for meetings and conferences, engaging with facilitators and participants, and preparing background materials.

Required Qualifications:
Completion of secondary education is required, preferably supplemented by technical or university courses related to the work of the organization. A minimum of five years of administrative or clerical work experience is required, with prior experience in programme support functions considered an asset. Candidates should demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment.

Educational Background:
Candidates must have completed secondary education, with additional technical or university courses related to the work of UNICEF being preferred. This educational background is essential to understand the administrative and operational tasks associated with the role.

Experience:
The position requires a minimum of five years of administrative or clerical work experience. Experience in programme support functions is advantageous, as it provides relevant skills and knowledge necessary for the role. Candidates should have a proven track record of managing administrative tasks effectively and efficiently.

Languages:
Fluency in English and Bangla is required for this position. Knowledge of another official UN language (Arabic, Chinese, French, Russian, or Spanish) or a local language is considered an asset, enhancing communication capabilities within the diverse environment of UNICEF.
