Job Overview:
As an Executive Assistant at UNICEF, you will play a crucial role in supporting the leadership team and ensuring the smooth operation of the office. This position involves serving as the primary liaison with the Ministry of Foreign Affairs, managing official correspondence, and providing high-level administrative support to the Representative. You will coordinate communications, scheduling, and workflows to enhance office efficiency. Additionally, you will act as the secretariat for key meetings and manage arrangements for high-level visits and engagements. Your contributions will directly impact UNICEF's mission to uphold children's rights and support the Government of Turkmenistan in fulfilling its obligations under international conventions.

Duties and Responsibilities:
  • Communications Support: Draft, review, and manage official correspondence to ensure clear and effective communication.
  • Administrative Support: Organize meetings, maintain accurate records, and ensure timely follow-ups on action items.
  • Operations Support: Streamline processes to facilitate smooth day-to-day functioning of the office.
  • Networking Support: Build and maintain relationships with government officials and key partners to foster collaboration and support for UNICEF's initiatives.
  • Event Coordination: Manage logistics for high-level visits and engagements, ensuring all arrangements are in place for successful events.
  • Reporting: Prepare reports and documentation as required to support the Representative and the office's objectives.

Required Qualifications:
To qualify for this position, candidates must have a minimum of five years of relevant administrative or clerical work experience. A bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience, while a master’s degree may replace an additional two years. Candidates should possess strong organizational, planning, and prioritizing skills, along with the ability to deal patiently and tactfully with visitors. A high sense of confidentiality, initiative, and good judgment is essential, as well as the ability to work effectively with people from diverse backgrounds and cultures.

Educational Background:
Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work. A bachelor’s degree in a relevant field is highly desirable and can significantly enhance a candidate's qualifications for this role.

Experience:
Candidates should have a minimum of five years of relevant administrative or clerical work experience. Experience in a similar role within an international organization or a government agency is highly advantageous. Relevant experience at the country level, particularly in development, fragile settings, and humanitarian contexts, is also desirable.

Languages:
Fluency in English is required, along with fluency in either Turkmen or Russian. Fluency in all three languages is preferred, as it will facilitate communication with various stakeholders and enhance the effectiveness of the role.
