Job Posting Organization:
The IOM Mission in Ukraine was established in 1996 and has since grown into one of the largest missions in the region, operating with 6 field offices and employing over 400 staff and consultants. The mission collaborates closely with the Government of Ukraine and various partners, including civil society, academia, the private sector, and migrant and diaspora associations, as well as UN agencies. The primary goal of the IOM is to promote humane, safe, and orderly migration that benefits both migrants and society as a whole. The organization provides policy advice and support to the Ukrainian government to enhance migration governance while also delivering direct services to migrants, displaced populations, and communities. The Transition and Recovery Team specifically focuses on community stabilization, peacebuilding, transitional justice, durable solutions, recovery, and disaster risk reduction and resilience.

Job Overview:
The intern position is designed to support the operational running of the OSS administrative activities, specifically in the areas of TRIP and SCAAN, by adhering to the operational rules and procedures established by IOM and UNDSS. The intern will be responsible for providing logistical support to OSS staff, responding to standard correspondence, drafting communications, and producing a variety of complex documents and reports. The role requires proofreading documents for accuracy and adherence to established standards, initiating administrative tasks in computerized systems related to finance, travel, and human resources, and assisting in the administrative processing of CONOPS. The intern will also be tasked with researching and organizing information for reports, managing databases, maintaining electronic and paper files, and ordering office supplies. Additionally, the intern may need to travel around Ukraine, for which they will be entitled to payment of expenses at an established Daily Subsistence Allowance (DSA) rate applicable at the time of travel. The deliverables for this position include maintaining up-to-date trackers, assisting in clearing CONOPS for staff traveling to specific regions, and preparing meeting agendas, invitations, minutes, and project concept notes and proposals.

Duties and Responsibilities:
The intern will have a comprehensive set of duties and responsibilities, including but not limited to: ensuring the smooth operational running of OSS administrative activities by following established operational rules and procedures; providing logistical support to OSS staff; drafting responses to standard and routine correspondence; producing a wide variety of large and complex documents and reports using word processing software; proofreading documents for accuracy, grammar, punctuation, and style; initiating general administrative tasks in computerized financial, travel, and human resources systems; assisting in the administrative processing of CONOPS; researching, compiling, and organizing information and reference materials for reports; creating spreadsheets and presentations; managing and updating databases for mailing lists and other information; maintaining electronic and paper files; ordering office supplies and researching new deals and suppliers; and performing other duties as required. The intern will also be responsible for delivering specific outputs such as up-to-date trackers, meeting agendas, invitations, minutes, project concept notes, and proposals.

Required Qualifications:
The ideal candidate for this internship should possess a range of qualifications, including being enrolled in the final academic year of a Bachelor’s level program or equivalent in International Business, or being enrolled in a graduate school program (second university degree or equivalent, or higher), or having graduated with a university degree not later than one year ago. A degree in Economics, International or Development Studies, or International Business is desirable. Additionally, the candidate should demonstrate technical mastery of software programs such as MS Word, Outlook, Excel, and PowerPoint. Excellent communication skills, the ability to handle routine and repetitive tasks, good organizational skills, flexibility, and the ability to work effectively under pressure are also essential qualifications for this position.

Educational Background:
Candidates applying for this internship should have a strong educational background, specifically being enrolled in their final year of a Bachelor's degree or equivalent in fields such as International Business, or being enrolled in a graduate program or having graduated within the last year. Degrees in Economics, International Studies, or Development Studies are particularly desirable, as they align closely with the mission's focus on migration governance and community stabilization.

Experience:
The level of experience required for this position is relatively flexible, as the internship is open to candidates who are either in their final academic year or have recently graduated. This means that while prior work experience is not strictly necessary, any relevant experience in administrative roles, logistical support, or related fields would be advantageous. The emphasis is on the candidate's ability to learn quickly and adapt to the operational needs of the IOM.

Languages:
Fluency in both English and Ukrainian is mandatory for this position, as effective communication in these languages is crucial for the intern's responsibilities. Proficiency in additional languages may be considered a plus, but the primary requirement is strong command over English and Ukrainian to facilitate communication with diverse stakeholders and partners.
