The FAO Subregional Office for the Pacific (SAP) specifically focuses on addressing agricultural, food, nutrition, and rural development priorities in the Pacific region, which includes countries such as Cook Islands, Fiji, Samoa, and others. FAO SAP is responsible for developing and implementing strategies that promote sustainable agricultural practices and improve food security in the region. The office also collaborates with various regional organizations to enhance cooperation and coordination in addressing food and agriculture issues.

Job Overview:
The International Specialist for Event Planning will play a crucial role in the organization and execution of the 2026 Pacific Small Island Developing States (SIDS) Solutions Forum. This high-level international event aims to bring together over 200 participants, including ministers and senior officials from various sectors such as agriculture, fisheries, and climate change, to discuss and promote solutions for sustainable development in the Pacific region. The specialist will be responsible for the design, preparation, coordination, and execution of the forum, ensuring that all aspects of the event are meticulously planned and executed. This includes developing the program agenda, coordinating with stakeholders, managing speakers and sessions, and ensuring the technical quality of all materials. The role requires a strong focus on stakeholder engagement, particularly with youth and women's groups, to ensure their active participation in the forum. The specialist will also work closely with various teams within FAO to ensure seamless delivery of the event, making it a significant platform for dialogue and collaboration among Pacific nations.

Duties and Responsibilities:
The duties and responsibilities of the International Specialist for Event Planning include:
  • Designing the detailed agenda for the forum, including the division of labor among team members to ensure successful delivery.
  • Selecting specific subthemes for the forum proceedings that align with the overall objectives.
  • Sending out invitations and following up to achieve a high confirmation rate from participants.
  • Liaising with relevant speakers and arranging logistics for their participation.
  • Ensuring active leadership roles for youth and women in the forum's design and execution.
  • Selecting authors and ensuring timely production of concept notes and technical background papers.
  • Preparing a detailed scenario plan for the forum agenda in a quality format.
  • Briefing speakers and panelists to ensure they are well-prepared for their roles.
  • Coordinating the preparation of speeches and speaking notes for each session. 1
  • Supporting the preparation of country briefs relevant to the forum. 1
  • Processing and uploading profiles of solutions to the FAO website. 1
  • Organizing logistics for the forum, including accommodation and transportation arrangements. 1
  • Developing a communications strategy to maximize awareness and participation in the forum. 1
  • Ensuring compliance with FAO standards and guidelines throughout the planning and execution process.

Required Qualifications:
Candidates must possess a university degree in Event Management, International Relations, Development Studies, Communications, Public Administration, Project Management, or a related field. Additionally, candidates should have a minimum of five years of relevant experience in high-level international event planning, organizing large conferences, and coordinating logistics for UN or intergovernmental events. Strong communication skills and the ability to engage with diverse stakeholders are essential. A working knowledge of English is required, and familiarity with the Pacific region's agricultural and development issues is an advantage.

Educational Background:
The position requires a university degree in a relevant field such as Event Management, International Relations, Development Studies, Communications, Public Administration, or Project Management. This educational background provides the necessary foundation for understanding the complexities of international event planning and stakeholder engagement.

Experience:
The ideal candidate should have at least five years of relevant experience in high-level international event planning. This includes organizing large conferences, multistakeholder forums, or UN/Intergovernmental events. Experience in coordinating logistics, technical program design, and communications/visibility strategies is crucial. The candidate should also have a proven track record of engaging with VIPs and ministers, ensuring their participation and satisfaction during events.

Languages:
A working knowledge of English is mandatory for this position. Proficiency in additional languages relevant to the Pacific region would be considered an asset, enhancing communication with diverse stakeholders and participants.
