Job Overview:
The Communications and Reporting Assistant plays a crucial role in supporting the effective implementation of communication and reporting activities that enhance WFP’s visibility and reputation. This position involves a variety of tasks, including the development and dissemination of communication materials, organization of events, and preparation of reports in collaboration with internal partners. The Assistant will be responsible for ensuring that all communication efforts align with WFP's corporate standards and guidelines, contributing to the overall mission of the organization. The role requires a proactive approach to support fundraising activities and maintain effective communication with both internal and external stakeholders. The incumbent will work closely with the Partnerships, Reporting, and Communications Officer to deliver key tasks in line with the office work plan, ensuring compliance with established procedures and standards.

Duties and Responsibilities:
The incumbent will undertake a comprehensive set of responsibilities, including but not limited to:
  • Providing coordination, administrative, and specialized support for the planning, development, and execution of communication campaigns targeting specific audiences.
  • Assisting in the creation of communication materials for campaigns, social mobilization, and awareness initiatives, contributing to the Country Office’s communication strategy.
  • Offering administrative support to ensure smooth scheduling, preparation of materials, and venue arrangements for events and multimedia projects.
  • Capturing photos, videos, and interviews from key audiences, preparing content for social media platforms, reports, and printed materials.
  • Responding to queries and requests for support, ensuring timely and accurate resolution of all inquiries.
  • Coordinating with relevant units to collect information and data for drafting activity reports and ensuring compliance with WFP guidelines.
  • Researching and updating a multimedia database with relevant materials to support ongoing communication efforts.
  • Executing internal and external communication plans, ensuring alignment with WFP’s communication standards.
  • Supporting the documentation and dissemination of best practices and success stories from WFP projects. 1
  • Assisting in organizing internal and external events, capturing impactful stories and content that highlight WFP operations in Djibouti. 1
  • Performing any other duties as requested by the supervisor.

Required Qualifications:
Candidates must possess a completion of secondary school education, with a post-secondary certificate in a related functional area being desirable but not mandatory. The role requires five years of relevant professional experience or three years of experience with a Bachelor’s degree or higher. Desired experiences include demonstrated ability in communication techniques, drafting activity reports, and performing routine communication tasks in line with operating standards within a UN agency or international organization. Strong knowledge of Microsoft Office Suite and desktop publishing software is essential, along with excellent writing skills and attention to detail.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. While a post-secondary certificate in a related functional area is desirable, it is not a strict requirement. Candidates with higher educational qualifications, such as a Bachelor’s degree, may have an advantage in the selection process.

Experience:
The position requires a minimum of five years of relevant professional experience, or three years of experience if the candidate holds a Bachelor’s degree or higher. Candidates should have demonstrated experience in communication techniques, drafting reports, and performing routine communication tasks within a UN agency or similar organization. This experience should reflect a strong understanding of the operational standards and practices within the humanitarian sector.

Languages:
Excellent oral and written proficiency in French is mandatory, along with good oral and written knowledge of English. Knowledge of a local language is also required, which will enhance communication with local stakeholders and beneficiaries.

This position is offered under a Service Contract (SC 5) for a duration of six months. The role is based in Djibouti City, Republic of Djibouti, and involves full-time engagement.
