Job Overview: The Team Assistant position at IFC is designed to support operations in Botswana and Lesotho, working closely under the guidance of the Senior Country Officer. The role is pivotal in enhancing IFC’s coordination, operational efficiency, stakeholder outreach, and country engagement processes. The Team Assistant will be involved in various administrative, analytical, and coordination tasks that are essential for the smooth functioning of the office. This includes developing stakeholder databases, supporting outreach efforts, coordinating with the World Bank team, and providing operational support to the Senior Country Officer. The position requires a proactive approach to managing multiple tasks and ensuring effective communication with both internal and external stakeholders.
Duties and Responsibilities: The Team Assistant will undertake a variety of responsibilities, including but not limited to: 1) Stakeholder Mapping and Outreach: Developing a comprehensive contact database that includes private sector entities, government institutions, business associations, financial institutions, and development partners. Supporting outreach efforts by scheduling meetings and preparing necessary briefing materials. 2) Coordination with the World Bank Team: Collaborating with the World Bank country team to ensure aligned engagement with clients and government stakeholders, and supporting joint missions, events, and knowledge-sharing sessions. 3) Support to the Senior Country Officer: Providing day-to-day operational and logistical support, preparing meeting notes, presentations, and internal briefs. 4) Operational and Administrative Support: Organizing events, workshops, conferences, and meetings, drafting correspondence and reports, and handling general administration and travel coordination. 5) Research and Knowledge Management: Maintaining filing and knowledge management systems, and identifying relevant news and policy developments that impact IFC’s operations in Botswana and Lesotho.
Required Qualifications: Candidates must possess a Bachelor’s degree in Accounting, Marketing, Business Administration, Economics, or a related field. Additionally, a minimum of two years of relevant work experience is required. Strong interpersonal skills are essential for effective communication with stakeholders, along with excellent written and verbal communication skills for drafting professional documents. Organizational skills and attention to detail are crucial, as is the ability to work independently and manage multiple tasks under tight deadlines. Proficiency in Microsoft Office applications is mandatory, and prior experience with development institutions or government entities is highly desirable.
Educational Background: A Bachelor’s degree in a relevant field such as Accounting, Marketing, Business Administration, or Economics is required for this position. This educational background provides the foundational knowledge necessary for the administrative and analytical tasks expected of the Team Assistant.
Experience: The position requires a minimum of two years of work experience in a relevant field. This experience should ideally include roles that involve administrative support, stakeholder engagement, and coordination within a professional environment, particularly in development institutions, government entities, or private sector organizations.
Languages: The mandatory language for this position is English, which is essential for communication and documentation. While no additional languages are specified as preferred, proficiency in other languages could be beneficial in a multicultural environment.
Additional Notes: The position is a temporary appointment for a duration of one year, with the possibility of renewal at the discretion of the World Bank Group. The appointment is subject to a lifetime maximum of three years for ET positions. The selected candidate will be expected to work locally in Gaborone, Botswana, and preference will be given to applicants authorized to work in the duty station.
