Job Overview: The Supply Chain Associate position is crucial for managing resource management functions in The Gambia, ensuring compliance with IOM policies and standards. The role involves overseeing procurement processes, managing vendor relationships, and ensuring the timely delivery of goods and services. The Supply Chain Associate will work under the supervision of the Officer-In-Charge of the Banjul Country office and the Senior Supply Chain Associate, collaborating closely with various units within the mission and Administrative Centres. This position requires a proactive approach to procurement, logistics, and supply chain management, with a focus on efficiency and effectiveness in meeting the organization's needs.
Duties and Responsibilities: The Supply Chain Associate will be responsible for a wide range of duties, including but not limited to: receiving and consolidating procurement requisition forms, verifying compliance with the Purchase Authorization Matrix, assisting in complex purchases, preparing tender documents, soliciting bids, and participating in the evaluation process. The Associate will monitor the status of open requisitions, coordinate the delivery of goods, review vendor invoices, and prepare payment requests. Additionally, the role involves maintaining accurate records of procurement documentation, conducting market surveys to identify potential suppliers, and providing guidance to staff on procurement procedures. The Associate will also manage supply chain tasks related to property and asset management, fleet operations, and training junior staff in supply chain management.
Required Qualifications: Candidates must possess a university degree in Business Administration, Accounting, Logistics, Supply Chain Management, or a related field from an accredited institution, along with three years of relevant professional experience. Alternatively, a high school diploma with five years of relevant experience is acceptable. Certification in Procurement, Logistics, or Supply Chain Management is considered an advantage. Candidates should demonstrate a strong understanding of procurement processes and logistics management, as well as experience working with vendors and service providers.
Educational Background: The educational background required for this position includes a university degree in a relevant field such as Business Administration, Accounting, Logistics, or Supply Chain Management from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database. Candidates with a high school diploma must have additional relevant professional experience to qualify for the role.
Experience: The ideal candidate should have substantial experience in procurement and logistics, particularly in working with vendors and service providers. Experience with asset management processes and familiarity with IOM/UN Procurement and Logistics Rules and Procedures is advantageous. Additionally, prior experience working in an international organization will be beneficial for this role, as it requires understanding the complexities of global supply chains and procurement practices.
Languages: Fluency in English, both oral and written, is mandatory for this position. Knowledge of any two local languages is desirable, as it enhances communication with local stakeholders. IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.
Additional Notes: This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for The Gambia will be considered. The appointment will be contingent upon medical fitness certification, residency verification, and necessary government authorizations.
