Job Overview: The Project Coordinator will play a crucial role in the planning, coordination, implementation, and monitoring of project activities in the state of Rio de Janeiro. This position requires a proactive individual who can compile, summarize, analyze, and present information on specific project topics, highlighting key issues for consideration by relevant stakeholders. The successful candidate will be responsible for monitoring budget implementation, proposing necessary adjustments, and acting as the focal point for administrative coordination of project implementation. This includes extensive liaison with various organizational units and external parties to initiate requests, obtain necessary clearances, and follow up on administrative actions. The Project Coordinator will also draft status reports, identify shortfalls in delivery, and suggest corrective measures. Additionally, the role involves organizing meetings, workshops, and training sessions, preparing training materials, and participating in capacity-building workshops. The candidate will respond to complex information requests, maintain files and records, and ensure effective liaison with local authorities, partners, UN agencies, and other stakeholders relevant to the project. The position also includes monitoring the work of implementing partners and reporting any non-compliance to the supervisor, as well as providing inputs for the development of Standard Operating Procedures (SOP) and concept papers. The Project Coordinator may also supervise other staff as assigned and perform other related duties as required.
Duties and Responsibilities:
Assist in the planning, coordination, implementation, and monitoring of project activities.
Compile, summarize, analyze, and present information/data on specific project topics, highlighting noteworthy issues for consideration.
Monitor budget implementation and propose adjustments as necessary.
Act as focal point for administrative coordination of project implementation, involving extensive liaison with diverse organizational units and external parties.
Draft status reports; identify shortfalls in delivery and suggest corrective measures.
Draft correspondence on project issues; prepare and update reports, briefing notes, graphics, statistical tables, and other documentation.
Organize meetings, workshops, and training sessions; prepare training materials and participate in capacity-building workshops.
Respond to complex information requests and inquiries; set up and maintain files/records.
Participate in meetings and conferences; maintain effective liaison and coordination with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other stakeholders. 1
Monitor work of implementing partners and report any non-compliance to the supervisor. 1
Provide inputs for the development of Standard Operations Procedures (SOP) and concept papers. 1
Provide guidance/training and assist in coordinating and monitoring work of other staff in the unit; may supervise other staff as assigned. 1

Required Qualifications:
School diploma with six years of relevant experience; or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with four years of relevant professional experience.
Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs.
Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups.
Prior work experience with international humanitarian organizations, NGOs, or government institutions in a multicultural setting is an advantage.
Excellent written and verbal communication and negotiation skills.
Solid understanding of relevant government, civil society, UN, and private sector actors. 1
Proficiency in Microsoft Office applications.
Educational Background: Candidates must possess either a school diploma with six years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. Accredited universities are those listed in the UNESCO World Higher Education Database.
Experience: The position requires a minimum of four years of relevant professional experience for candidates with a Bachelor’s degree, or six years of relevant experience for those with a school diploma. Candidates should have experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is essential. Prior work experience with international humanitarian organizations, NGOs, or government institutions in a multicultural setting is considered an advantage.
Languages: Fluency in Portuguese is mandatory, along with a working knowledge of Spanish (oral and written). Proficiency in IOM’s official languages, which include English, French, and Spanish, will be specifically evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: The position is subject to local recruitment, and only candidates holding a valid residence and work permit for Brazil will be eligible for consideration. Any offer made to the candidate is subject to funding confirmation. This selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months. Appointment will be subject to certification that the candidate is medically fit for appointment, verification of residency, visa, and authorizations by the concerned government, where applicable.
