Job Overview:
The Supply Associate position is crucial within the UNHCR's supply chain function, which encompasses a wide range of activities including planning, sourcing, procurement, transport, shipping, customs clearance, warehousing, asset management, and fleet management. The incumbent will be responsible for managing and supporting all supply chain activities within their area of responsibility, ensuring that goods and services are delivered timely and efficiently to persons of concern. The role requires regular interaction with various stakeholders, including other UNHCR offices, UN agencies, NGOs, government partners, and commercial contractors. The Supply Associate will work under the supervision of a higher-level supply position and will receive guidance on the execution of their duties. This position is designed for individuals who are proactive, detail-oriented, and capable of managing multiple tasks effectively while adhering to UNHCR's core values of professionalism, integrity, and respect for diversity.

Duties and Responsibilities:
The Supply Associate will have a comprehensive set of duties and responsibilities, including but not limited to: supporting supply activities in compliance with UNHCR supply chain rules and procedures; preparing delivery plans for relief and non-food items; applying UNHCR's sourcing and procurement strategy; maintaining accurate records of supply activities; evaluating purchase requisitions; drafting and dispatching quotation requests and tenders; preparing purchase orders and monitoring the delivery of goods; providing guidance on procurement policies; generating asset management reports; monitoring supply chain data quality; tracking progress of operations; assisting in coaching and advising staff; managing local liaison with partners; coordinating supply activities with UNHCR partners and contractors; implementing effective asset and fleet management; and identifying and managing risks related to supply chain operations.

Required Qualifications:
Candidates must possess a minimum of three years of relevant experience with a High School Diploma, or two years of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include a background in trade, business administration, economics, marketing, or a related field. Additionally, candidates should have experience in supply transaction processing, preferably in an international or shared-service environment, and familiarity with supply modules of major ERP systems such as Oracle or SAP. Strong organizational, analytical, and communication skills are essential, along with the ability to collaborate effectively in a multicultural environment.

Educational Background:
The educational background required for this position includes a High School Diploma for candidates with three years of relevant experience, or a Bachelor’s degree or higher for those with two years of relevant experience. Relevant fields of study include trade, business administration, economics, marketing, or related disciplines. Certifications in UN procurement and logistics training, such as IAPSO and UNPD, are desirable but not mandatory.

Experience:
The position requires candidates to have a minimum of three years of relevant experience with a High School Diploma or two years of relevant experience with a Bachelor’s degree. Experience in supply chain management, procurement, and logistics within an international context is highly valued. Familiarity with UNHCR policies and procedures, as well as experience in managing supply transactions, is considered an advantage.

Languages:
Knowledge of English is mandatory, and candidates should also be familiar with the UN working language of the duty station if it is not English. For General Service jobs, knowledge of English and/or the UN working language of the duty station is required. Proficiency in local languages is also beneficial, particularly for roles that involve significant interaction with local partners and stakeholders.
