Job Overview: The position of Event Management Support is crucial for the successful execution of the Annual Meeting and Business Forum workstreams. The individual in this role will be responsible for providing comprehensive assistance to the Corporate Event Management team, ensuring that all Board and corporate events are coordinated and delivered effectively. This includes liaising with various internal departments and external stakeholders to formalize expectations and deliverables for events. The role requires a proactive approach to managing logistics, technical requirements, and communication with speakers and participants. The successful candidate will play a key role in the planning and execution of both in-person and virtual events, contributing to the overall success of the EBRD's initiatives.
Duties and Responsibilities: The duties and responsibilities of the Event Management Support position include:
Liaising with internal client departments, external stakeholders, and partner companies to clarify expectations and deliverable services for events.
Coordinating the participation of speakers, which involves preparing invitation letters, managing registrations, organizing test/rehearsals, and collecting bios and photos for the event website.
Informing panellists about necessary preparations and requirements for their participation.
Keeping track of all technical and logistical requirements for each event to ensure smooth execution.
Collating and inputting relevant event information on the Annual Meeting website.
Producing event logistics guidelines, storyboards, and detailed summary sheets for all assigned events, including virtual and in-person setups, running orders, presentations, hand-outs, and speakers' information.
Managing assigned events on-site, coordinating with technical and support staff during the meetings.
Providing final event statistics for assigned areas, including access criteria, participation levels, and engagement metrics.
Maintaining electronic filing of official Unit documents related to assigned events and tasks. 1
Drafting thank you letters to speakers and post-event reports for respective areas.
Required Qualifications: Candidates must possess over 3 years of event management experience, preferably with a focus on international events. Experience in coordinating multi-event programs in physical, virtual, and hybrid settings is essential. A strong understanding of logistical and technical requirements for various event formats is required. Excellent communication and interpersonal skills are necessary to effectively liaise with diverse stakeholders. Familiarity with the EBRD structure and the Annual Meeting format is advantageous. Proficiency in advanced computer applications, including PowerPoint and Excel, is required, along with familiarity with virtual event and streaming platforms. Candidates should demonstrate a proactive and adaptable approach, with the ability to perform well under pressure in fast-paced environments, and possess a keen eye for detail.
Educational Background: The position requires a relevant educational background, typically a degree in event management, hospitality, business administration, or a related field. Candidates with additional certifications in event planning or management will be viewed favorably. A strong academic foundation will support the candidate's ability to manage complex event logistics and stakeholder communications effectively.
Experience: The ideal candidate should have a minimum of 3 years of experience in event management, with a proven track record of successfully coordinating international events. Experience in both on-site and remote coordination of events is essential, as the role involves managing various formats including physical, virtual, and hybrid events. The candidate should be comfortable working in a dynamic environment and be able to adapt to changing circumstances and requirements.
Languages: Fluency in spoken and written English is mandatory for this position. Knowledge of additional languages such as French, German, Russian, or Arabic is considered an advantage and may enhance the candidate's ability to communicate effectively with a diverse range of stakeholders.
