Job Overview:
The Logistics Assistant position at IOM in Brazil is crucial for supporting the organization's operations in the northern region, particularly in relation to the 'Operation Welcome' initiative. The successful candidate will work under the direct supervision of the Relocation Coordinator and Logistics Team Leader, contributing to various logistical activities aimed at assisting migrants and refugees. This role involves monitoring the Logistics Team's activities, preparing travel plans, and ensuring that logistical operations are executed efficiently. The Logistics Assistant will also be responsible for developing procedures for escort activities, disseminating information regarding work plans, and preparing performance reports. The position requires a proactive approach to problem-solving and a commitment to supporting vulnerable populations through effective logistical support.

Duties and Responsibilities:
The Logistics Assistant will have a diverse set of responsibilities, including but not limited to:
  • Supporting the Logistics Team Leader in monitoring and guiding the Logistics Team to meet operational demands.
  • Collaborating with the Logistics Team at the Relocation Coordination Center (Centro de Coordenação de Interiorização - CCI).
  • Preparing monthly travel plans for Operation Welcome (Operação Acolhida).
  • Monitoring and guiding logistical activities related to Operation Welcome.
  • Assisting partners of Operação Acolhida in providing support and guidance to migrants, ensuring access to public services.
  • Developing procedures for escort activities during Operation Welcome travels.
  • Creating schedules and activities for IOM Escorts.
  • Disseminating information on work plans and travel changes for Operation Welcome.
  • Compiling weekly activity reports for the Logistics Teams in the covered areas. 1
  • Performing additional duties as assigned by the Logistics Team Leader or Relocation Coordinator.

Required Qualifications:
Candidates must possess a High School diploma with a minimum of three years of relevant professional experience, or a Bachelor’s degree in administration, logistics, management, or related fields from an accredited academic institution, along with at least two years of relevant professional experience. Accredited institutions are those recognized in the UNESCO World Higher Education Database. Additionally, candidates should have experience liaising with government agencies, international institutions, and NGOs, particularly in contexts involving migrants and vulnerable populations. Strong organizational, analytical, and interpersonal skills are essential, as well as proficiency in MS Office applications.

Educational Background:
The educational requirements for this position include either a High School diploma with three years of relevant experience or a Bachelor’s degree in a relevant field such as administration, logistics, or management. The degree must be from an accredited institution recognized by the UNESCO World Higher Education Database, ensuring that candidates have a solid educational foundation to support their professional responsibilities.

Experience:
Candidates should have a proven track record of experience in roles that involve collaboration with Brazilian government agencies, international organizations, and NGOs. Experience working directly with migrants, refugees, and other vulnerable groups is highly desirable. Prior work experience in international humanitarian organizations or in multi-cultural settings will be considered an advantage. The ideal candidate will demonstrate effective communication and organizational skills, as well as the ability to work collaboratively with various stakeholders.

Languages:
Fluency in Portuguese and Spanish is required for this position, both in oral and written forms. A working knowledge of English is considered a distinct advantage, as IOM's official languages include English, French, and Spanish. Proficiency in these languages will be evaluated during the selection process, which may include written and/or oral assessments to ensure candidates meet the necessary communication standards.
