Job Overview: The Management Services Associate plays a crucial role in providing specialized support and coordinating the delivery of client-focused services within the Management Services portfolio. This position is vital for ensuring efficient and high-quality service delivery, particularly in the areas of travel management, premises management, and resource monitoring. The associate will serve as the focal point for all travel-related activities, ensuring compliance with organizational policies and advising staff on travel matters. Additionally, the role involves overseeing the management of WFP premises to ensure they are safe, well-maintained, and operational. The associate will also be responsible for collecting and analyzing data, preparing reports, and utilizing digital tools to enhance service delivery. This position requires a proactive approach to problem-solving and a commitment to improving operational efficiency.
Duties and Responsibilities: The Management Services Associate will be responsible for a variety of key accountabilities, including: coordinating administrative and technical support within the Management Services portfolio; serving as the focal point for travel management and ensuring compliance with organizational policies; overseeing the management of premises and facilities; monitoring resource needs and identifying new requirements; collecting, analyzing, and accurately recording data; preparing and consolidating reports; providing timely resolutions to complex queries; utilizing digital tools to improve working practices; assisting in inter-agency initiatives; providing training and guidance to staff; and contributing to emergency preparedness and response efforts. This role requires a high level of organization, attention to detail, and the ability to work collaboratively with various stakeholders.
Required Qualifications: Candidates must possess a completion of secondary school education and a post-secondary certificate. A university degree in business administration, public administration, or a related functional area is preferred. Additionally, candidates should demonstrate a high level of proficiency in administrative operations and standards, with a strong understanding of the policies and procedures relevant to the Management Services portfolio.
Educational Background: The educational background required for this position includes a completion of secondary school education along with a post-secondary certificate. A university degree in business administration, public administration, or a related field is highly desirable, as it provides the foundational knowledge necessary for effective performance in this role.
Experience: Candidates should have at least five years of experience in administration or a similar field. This experience should include a demonstrated proficiency in operations related to administrative standards and practices.
