Job Overview:
The Programme Assistant GS5 position at UNICEF involves providing comprehensive support to program implementation, administrative and financial tasks, operational support, and logistical coordination for events. The role requires maintaining accurate data in the Vision software, tracking program expenditures, and facilitating contract processing for consultants and suppliers. The assistant will also manage team calendars, prepare financial documentation, and support travel arrangements for team members. Additionally, the position includes maintaining organized archives, supporting new staff integration, and utilizing digital tools for efficiency. Duties and Responsibilities:
  • Program Support: Execute transactions in Vision software, ensure data accuracy, track program implementation, and analyze management indicators. Liaise with colleagues to resolve transactional issues.
  • Administrative and Financial Support: Facilitate contract processing, manage event calendars, maintain leave tracking systems, prepare financial reports, and process invoices.
  • Operations and Travel Support: Assist with travel arrangements for team members and manage office supplies and equipment inventories.
  • Event Coordination: Provide logistical support for training sessions, workshops, and conferences, including vendor coordination and participant communication.
  • Knowledge Management and Communication: Organize digital and physical archives, assist new staff, and draft internal communications.
  • Digital Dexterity: Utilize AI tools for insights, maintain digital archives, and promote digital solutions among colleagues.
  • Emergency Support: Provide administrative and logistical support during emergencies, ensuring continuity of operations.

Required Qualifications:
Candidates must possess a minimum of a BAC+3 degree in administrative management, project management, or a related field. They should have at least five years of progressively responsible experience in administration or office work. Proficiency in French is mandatory, while knowledge of English and local languages is an asset.
