Job Overview: The coordinator" style="border-bottom: 1px dotted #007bff !important;">Administrative Coordinator position within the Corporate Services and Facilities Department, Front Office (CSFAI) at the IMF is a critical role that involves providing comprehensive administrative support to various divisions. The selected candidate will be expected to work independently with minimal supervision, demonstrating initiative and sound judgment to ensure the efficient operation of administrative functions. The role requires close collaboration with the CSF Office Manager, Lead Administrative Coordinator, and other divisional assistants. Flexibility in working hours and a willingness to work overtime at short notice are essential attributes for this position. The Administrative Coordinator will play a vital role in maintaining the flow of information, managing shifting priorities, and adhering to deadlines, all while being an integral part of the Front Office team.
Duties and Responsibilities: The duties of the Administrative Coordinator include monitoring the flow of information within the department, tracking shifting priorities, and ensuring deadlines are met. The candidate will substitute for the Senior Administrative Coordinator as needed and share administrative tasks with department colleagues. Specific responsibilities include assisting the Strategy, Resource and Risk Management (SRU) team by coordinating offsite meetings and retreats, interacting with the Information Technology Department and Audio Visual teams to support CSF Town Halls and Brown Bag sessions, managing expense reporting, coordinating calendars, and overseeing document management. The Administrative Coordinator will also serve as the primary liaison for monitoring the CSF Review mailbox input to the Common Review System (CRS) platform, ensuring timely notifications and submissions. Additionally, the candidate will provide guidance, feedback, and training to other assistants to ensure smooth administrative operations and will handle responsibilities delegated by the Office Manager/Alt. Office Manager as needed.
Required Qualifications: Candidates must possess a high school diploma or equivalent, supplemented by a minimum of six years of relevant experience. At least two of the six required years must be in a lead role for external candidates. The position requires proven ability to work independently, exercise initiative, and proficiency in Microsoft Office software (Word, PowerPoint, SharePoint, Excel), Adobe Acrobat, Canva, and Outlook. Familiarity with data analytics tools such as PowerBi is considered an asset. Strong organizational, interpersonal, administrative, analytical, and communication skills are essential, along with the capacity to work calmly and efficiently under pressure while managing multiple tasks.
Educational Background: The educational background required for this position includes the completion of a high school diploma or equivalent. This foundational education should be complemented by relevant work experience, specifically in administrative roles that demonstrate the ability to manage tasks effectively and support organizational operations.
