Job Overview: The Procurement & Logistics Assistant position at WFP is crucial for ensuring the efficient acquisition of goods and services necessary for field operations. This role involves performing administrative procurement activities in a timely manner, compiling data, preparing documents, and supporting successful procurement programs. The assistant will be responsible for reviewing and prioritizing purchasing requests, coordinating the delivery of procurement requisitions, and providing logistical support to ensure that food assistance reaches beneficiaries effectively. The position requires a proactive approach to problem-solving and a strong commitment to client service, as the assistant will respond to various technical queries and support the management of commodity accounting data. Duties and Responsibilities:
Perform administrative procurement activities efficiently to support the acquisition of goods and services for field operations.
Compile data, prepare, and distribute documents to support procurement programs and operational activities, ensuring standard processes are followed.
Review, record, and prioritize purchasing requests, ensuring all supporting documentation is received and funding is available.
Coordinate and monitor the delivery of procurement requisitions, verifying receipt and inspection of deliverables.
Provide support to logistics operations, facilitating the effective delivery of food assistance to beneficiaries.
Support timely ordering and delivery of food commodities and supplies in collaboration with field offices and other functional units.
Respond to technical queries and requests for support, ensuring timely and accurate resolution of all inquiries.
Manage and assure the quality of commodity accounting data, contributing to operational pipeline analyses and planning.
Provide technical support and guidance to other support staff to assist them in completing standard tasks to agreed standards and deadlines.
Required Qualifications: Candidates must possess a completion of secondary school education, with a post-secondary certificate in a related functional area being desirable. The role requires fluency in English, with additional language skills being beneficial depending on the duty station. Candidates should have experience using corporate systems for monitoring shipments, analyzing data, and drafting reports. Familiarity with measuring service providers’ performance against KPIs and assisting in contract documentation preparation is also required. Technical business support experience in corporate systems is a plus.
Educational Background: The minimum educational requirement for this position is the completion of secondary school education. A post-secondary certificate in a relevant functional area is desirable, indicating that candidates should have some formal training or education related to procurement, logistics, or supply chain management.
Experience: Candidates should have relevant experience in procurement and logistics, particularly in administrative roles that involve monitoring shipments, analyzing data, and providing technical support. Experience in drafting reports and assisting with contract documentation is also essential. The role may require familiarity with corporate systems used for procurement and logistics operations, as well as experience in measuring service providers’ performance against established KPIs.
Languages: Fluency in English is mandatory for this position, with a level C proficiency required. Depending on the location of the post, fluency or intermediate knowledge of another official UN language may also be required. For field positions, fluency in both the UN language in use at the duty station and the local language is necessary to ensure effective communication.
Additional Notes: This position is classified as a Service Contract (SC) at grade SC5, with a contract duration of 12 months. The duty station for this role is Yaounde, Cameroon.
