Job Overview: The People & Culture Assistant plays a crucial role in supporting the administrative and transactional functions of the People & Culture (P&C) operations within the country office located in Maiduguri. This position is pivotal in maintaining accurate personnel records, facilitating recruitment and onboarding processes, coordinating logistics for training sessions, and assisting with payroll and benefits administration. The P&C Assistant is expected to deliver high-quality customer service to staff members while ensuring compliance with P&C policies, procedures, and local labor regulations. This role requires a proactive approach to managing the employee lifecycle, from entry to exit, and involves a variety of administrative tasks that contribute to the overall effectiveness of the P&C department.
Duties and Responsibilities: The duties and responsibilities of the People & Culture Assistant include supporting recruitment processes by arranging interviews, liaising with candidates, administering application forms, and conducting reference checks. The assistant will follow up on approvals for all P&C documents, including requisition forms and contract letters. Responsibilities also include printing ID cards for new hires, preparing employee contracts, and managing the filing and archiving of documents in both hardcopy and electronic formats. The P&C Assistant will organize the administrative induction of new staff, ensuring they are briefed on P&C policies and procedures. Additionally, the role involves monitoring P&C reporting, building and updating specific P&C information, reports, and checklists, and supporting ad hoc projects that enhance collaboration between P&C, Finance, and IT teams. The assistant will also assist in preparing introductory letters, transfer letters, and external correspondence for vetting, and perform any other tasks assigned by the supervisor.
Required Qualifications: Candidates must possess a Bachelor’s degree in human resources management, Business/Public Administration, or a related field, along with 1-3 years of relevant administrative experience, preferably in an established P&C international environment. Demonstrated success in multicultural environments is considered an advantage. Membership in a professional HR body is also a plus. The ideal candidate should have excellent communication, presentation, and interpersonal skills, as well as strong planning and organizational abilities. Knowledge of human resources practices and the ability to manage competing priorities effectively in a dynamic environment are essential.
Educational Background: The educational background required for this position includes a Bachelor’s degree in human resources management, Business/Public Administration, or an equivalent field. This foundational education is critical for understanding the principles and practices of human resources and administrative functions within an organization.
Experience: The position requires 1-3 years of relevant administrative experience, ideally within a People & Culture context in an international setting. Candidates should demonstrate their ability to work effectively in diverse and multicultural environments, showcasing their adaptability and understanding of global HR practices.
Languages: Proficiency in English is mandatory, with excellent oral and written communication skills being essential for the role. Additional language skills may be considered an advantage, particularly in a multicultural work environment.
