Job Overview: The Registration and MarketingSupport Officer plays a crucial role in supporting the Registration team with the invitation, accreditation, and registration of participants for the Annual Meeting (AM). This position involves updating registration flows on the registration system and assisting EBRD staff with any registration queries. Additionally, the officer will support the Marketing and Sponsorship team by updating website content and researching the Host Country's culture and heritage to create promotional materials. The role requires a strong background in customer service, events management, and data entry, along with effective collaboration with various teams within the organization. The officer will also be responsible for managing push notifications and providing support through the MyEBRD app during the event, ensuring a seamless experience for participants.
Duties and Responsibilities: The duties and responsibilities of the Registration and Marketing Support Officer include:
Pre-Annual Meeting (AM) Responsibilities:
- Support the setup and testing of registration flows.
- Assist Bank staff with the flagging process for AM participants.
- Process invitations and accreditations for AM participants, ensuring adherence to strict accreditation criteria.
- Monitor the AM information email address and respond to queries from Bank staff.
- Produce reports as needed.
- Research and compile information related to the Host Country's culture and heritage for promotional purposes.
- Propose content and structure for the Host Country page on the AM website.
- Update the Annual Meeting website based on team and program needs.
- Set up and schedule push notifications in consultation with the Event Management team.
On-site Responsibilities:
- Monitor the AM information email address during the event.
- Send push notifications to manage crowds as necessary.
- Promote the MyEBRD app and provide support to participants during the event days.
Required Qualifications: The ideal candidate for the Registration and Marketing Support Officer position should possess the following qualifications:
- A university degree in a relevant field.
- Proven experience and good knowledge in conference or event organizing.
- Proficiency in computer applications, particularly in Excel for report generation.
- Strong skills in monitoring timelines and coordinating with various departments and external partners.
- Excellent attention to detail and the ability to operate sensitively in multicultural environments.
- Strong interpersonal skills and the ability to build effective working relationships with clients and colleagues.
- Familiarity with EBRD's procedures and policies is desirable.
Educational Background: Candidates are required to have a university degree, preferably in a field related to event management, marketing, or communications. This educational background will provide the necessary foundation for understanding the complexities of organizing events and managing participant registrations effectively.
Experience: The position requires proven experience in conference or event organizing. Candidates should have a solid understanding of the processes involved in managing registrations, accreditations, and participant communications. Experience in customer service and data entry is also essential, as the role involves interacting with various stakeholders and managing information accurately.
Languages: Fluency in written and spoken English is mandatory for this position. Knowledge of French would be considered a valuable asset, enhancing communication with a broader range of participants and stakeholders.
Additional Notes: This position is a short-term contract lasting for 8 months. The EBRD promotes a flexible working environment, expecting employees to work in the office 50% of the time.
