Job Overview:
The role of the Administrative and Operational coordinator" style="border-bottom: 1px dotted #007bff !important;">Support Coordinator is crucial within the Management Services function of WFP Zimbabwe. The incumbent will be responsible for coordinating and providing comprehensive administrative and operational support across various areas including Travel, Protocol, and Fleet Management. This position requires a high level of service delivery, adherence to WFP policies, and the ability to innovate processes that enhance operational efficiency. The coordinator will work closely with management to ensure that all travel arrangements are executed in compliance with WFP policies, ensuring safety and value for money. Additionally, the role involves managing fleet operations and ensuring that all logistical needs are met to support WFP’s programmatic and strategic objectives effectively.

Duties and Responsibilities:
The key accountabilities for this position include coordinating all official travel arrangements, overseeing travel planning, ticketing, visa arrangements, and ensuring compliance with travel entitlements. The coordinator will also maintain updated travel data, generate reports for management, and facilitate the acquisition of diplomatic privileges for international staff. Responsibilities extend to managing fleet operations, including vehicle assignment, maintenance, and fuel management, while ensuring compliance with WFP vehicle usage policies. The incumbent will monitor procurement, financial, and HR-related actions, collate and analyze data for decision-making, and recommend process improvements. Furthermore, the coordinator will provide guidance and training to junior staff and participate in inter-agency collaborations to promote operational efficiencies.

Required Qualifications:
Candidates must possess a sound understanding of WFP administrative operating standards and have experience in general administrative work. The role requires a proactive approach to problem-solving and the ability to work collaboratively within a team. Strong organizational skills and attention to detail are essential, as well as the ability to manage multiple tasks effectively. The candidate should demonstrate a commitment to WFP’s values and mission, and be able to adapt to a dynamic work environment.

Educational Background:
A completion of secondary school education is required, with a post-secondary certificate in a related functional area being desirable. This educational background will provide the foundational knowledge necessary for the administrative and operational tasks associated with the role.

Experience:
The position requires six or more years of progressively responsible work experience in a relevant business stream, particularly in administrative roles. Candidates should have a proven track record of managing administrative functions and supporting operational needs within an organization, ideally in a humanitarian or development context.

Languages:
Fluency in English is mandatory, with a level C proficiency required. Depending on the location and area of responsibility, fluency or intermediate knowledge of another official UN language may also be required. For field positions, fluency in both oral and written communication in the UN language in use at the duty station is essential, along with proficiency in the local language if it differs from the UN language.
